- Performs administrative duties including: answers, screens, and directs telephone calls, creating a positive impression with callers and arranging conference calls.
- Performs administrative duties, often confidential in nature for the Human Resource department. This may include the following: filing and processing invoices, monitoring and reconciling controllable expenses, and handling other complex administrative functions.
- Prepares routine and non-routine correspondence .
- Generates and distributes reports concerning/affecting the activities of the functional areas reporting to senior executive, including the monthly activity reports, budgets, and controllable reports.
- Support HR leaders by scheduling appointments and making arrangements for meetings and conferences, which may include preparing agendas, reserving and preparing facilities, and recording and transcribing minutes of meetings.
- Schedule candidates for phone interviews, video interviews and in-person interviews with speed, efficiency and accuracy. Utilize a shared interview calendar and send email confirmations to candidates and interview team.
- Maintain shared interview calendar on a daily basis. Prepare interview rooms and refreshments as needed. Anticipate needs of hiring mangers and candidates and ensure a great candidate experience from start to finish. May be asked to greet and/or walk candidates to various places on property as part of the interview process.
- Perform duties in applicant tracking system (Taleo) including but not limited to: posting of jobs, dispositioning candidates, executing tasks related to the pre-employment process and preparation for on-boarding.
- Coordinate candidate travel through Corporate Travel Department & assist with candidate expense processing.
- Support recruiting team during college recruiting season, to include shipment of recruiting materials, maintaining storage rooms, ordering promotional items and other duties as assigned.
- Other administrative duties or special projects to assist the Talent Acquisition & University Relations team.

- High School Diploma or GED required.
- Bachelor’s degree or higher level degree preferred.
- Experience providing administrative support for corporate executives preferred.
- Experience with Microsoft Outlook, Skype and WebEx preferred.
- Experience performing functions of talent acquisition preferred.
- Experience with an applicant tracking system, preferably Taleo, preferred.
- Able and willing to work on-site, in-person at the Valero San Antonio location, required.
