Job Description
Valiant Harbor International is seeking a Program Administrator to assist program officers and government personnel with internal work processes and procedures. This position involves managing travel arrangements, performing clerical duties, and supporting human resource functions for the department. The ideal candidate will have experience with the Defense Travel System (DTS), Joint Travel Regulations (JTR), and other relevant administrative systems, along with strong organizational and communication skills.
Responsibilities
- Perform clerical and administrative duties, including preparing conference packages, setting up teleconferences and meetings, responding to phone calls and emails, and completing routine office tasks.
- Serve as a subject matter expert on travel regulations and policies, including JTR, foreign clearance guides, and national/international visit requirements.
- Prepare and submit VISA or passport requests, maintain travel budgets, coordinate Military Air Flights, and submit Aircraft and Personnel Automated Clearance System (APACS) requests.
- Assist program officers with Defense Travel System (DTS) by entering travel requests, coordinating travel through the Scheduled Air Transportation Office (SATO), and arranging lodging and other travel-related responsibilities.
- Collect travel receipts and documentation, draft reimbursement vouchers, and ensure compliance with travel regulations and policies.
- Support foreign travel requirements, including verification, preparation of diplomatic and country clearances, and submission of associated travel documentation.
- Support human resource functions such as check-in/check-out processes, training requests, data entry into the Personnel Process Improvement (PPI) Suite System, monitoring timekeeping, and coordinating office space and equipment assignments.
Required Skills & Experience
- Must possess or be able to obtain a Secret Clearance.
- Must be a U.S. Citizen.
- High School diploma with at least 10 years of experience providing DTS support, OR a bachelor’s degree with at least 5 years of experience providing DTS support.
- Demonstrated expertise using DTS and knowledge of JTR.
- Demonstrated understanding of travel coordination and compliance in a federal or military setting.
- Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint for creating documents and managing data.
- Experience in office management and administrative support functions.
- Preferred: Previous experience providing administrative support for Department of Defense organizations.
Salary Range: $60,000.00 - $75,000.00
