Job Description: Administrative Assistant
Reports to: Executive Director
Schedule: This is a Non-Exempt full-time position, averaging 32-40 hours as deemed necessary by the Executive Director.
Basic Functions:
The Administrative Assistant provides oversight and support while acting as the first point of contact for most human resources inquiries, and miscellaneous administrative tasks. The Administrative Assistant will be responsible for the day-to-day management in areas such as: recruiting, background and reference checks, and on-boarding off-boarding. The Administrative Assistant oversees Valley Health operations by maintaining office systems, supervising office support staff/volunteers, and providing administrative support for the Executive Director as needed.
Responsibilities:
● Utilize ADP Total Source applications to assist with HR related needs.
● Schedules all new hires for pre-employment physical, drug screen, and
Background check.
● Supports employee onboarding and ensures that new employees receive all required employment tools such as badge, email, technology, appropriate log in and credentials to EMR and other programs as needed, etc.
● Oversees orientation training for all staff.
● Manages staff training compliance (Harassment, CPR, CARF,) as well as program-specific training requirements, ensuring that staff is current with all required training.
● Updates and manages the employee directory on a regular basis
● Supports our Executive Director with board minutes, meeting coordination, and refreshments as needed for high-level meetings with the Board of Directors, staff, or external visitors as needed.
● Participates in and/or assists in coordination of community, agency, team and staff training and/or meetings, as required.
● Provides support for office operations including office supply requisitions; and/or performing clerical functions as needed. Greets visitors, provides phone system back up, and miscellaneous front office tasks when needed such as: Answering phones, sending and receiving faxes, and checking clients into the clinic.

● Supports office staff by providing administrative assistance to employees/volunteers as required.
● Inputs/uploads data into Avatar or other Electronic Medical Record
● Handles routine inquiries and provides information on agency activities, processes, established services and programs and, when required, refers inquiries/calls to other staff for reply.
● Maintains filing and record keeping systems, schedules, equipment inventory, rosters and databases, inclusive of manual systems and computer data entry.
● Conducts supervised UA testing when needed.
● Other duties as assigned.
Qualification:
● Education and Experience: Possession of an A.A. Degree or equivalent preferred.
● License: A valid California driver's license
● Must be able to meet and receive a criminal records clearance as required by specific programs, and VHA licensing regulations
● Computer literacy- including ability to use word processing, spreadsheet and database applications
● Excellent organizational ability
● Excellent oral and written communication skills
● Flexibility and ability to coordinate more than one task
● Ability to maintain deadlines
● Ability to respect and maintain confidentiality
● Spanish bilingual/bicultural preferred.
