The Manager will provide day to day administrative responsibilities for clinic site of operation and will require outstanding interpersonal and administrative skills. The Manager will assist the Director to recruit and hire qualified, competent individuals, and assure training and orientation to provide for competent, skilled practice operations. This individual will be charged with creating a culture that promotes outstanding patient satisfaction, employee engagement and quality. The Manager may be requested to provide services insuring uninterrupted flow of the clinic. The Manager will mentor and coach individuals to improve on and champion an environment where a positive patient experience is the primary goal of every aspect of care provision.
Responsibilities and Duties
Develops, participates in, and implements key organizational processes: Budget, Talent Management (hiring/selection, 30/90-day reviews, performance mgmt., career development discussions, corrective action), Employee Engagement Action Planning, Employee & Customer Rounding, and Regular Staff Meetings.
Communicates effectively and appropriately. Uses good judgement as to what to communicate to whom as well as the best way to get that accomplished. Speaks in a clear and credible manner, selecting the right tone for the situation and audience.
Maintains effective communication with Director on regular basis; in the absence of the Director assumes responsibility for all regional clinics operations and patient care.
Financial: controls budget monthly with reports on variances to the Director. Creates and adheres to realistic budgets in a manner that helps achieve the organization's objectives. Tracks expenses against the budget frequently enough to make adjustments as needed. Communicates budget concerns and adjustments to all appropriate stakeholders so that they can adapt their plans and expectations.
Practices day to day leadership of clinic by ensuring a high reliability and accountability culture; must be available during all operating hours including evening, weekday, and holidays.
Educates staff on accreditation standards to maintain compliance and perpetual readiness; complies with all regulatory agency requirements and deadlines. Responsible for building maintenance and environmental conditions contributing to patients' safety and security.
Governance: establishes and builds an environment of high reliability by removing barriers to delivery of safe and quality patient care and ensuring sustained results without needing key stakeholders present.
Interviews and selects new employees; monitors and adjusts clinic FTEs pending patient volumes/census to meet productivity targets.
Completes and follows up on prioritized indicators, incident reports, complaints, accidents, performance standards, and reports results to Director.
Maintains working knowledge of rehab processes including insurance authorization, billing practices and reimbursement, documentation requirements, scheduling, and care delivery models.
Community: responsible for customer service delivery both in-clinic and off-site to our community business partners and provides an environment which motivates staff to be consistent on delivery of quality patient experience. Initiates, develops, and maintains relationships with customers by being available for communication and addressing concerns/complaints.
Education
Bachelor's degree in Business, Healthcare Administration or related field required.
Master's degree in Healthcare Administration, Business Administration, Public Health or related field preferred.
Experience
Five years of experience in healthcare operations is required.
Two years of supervisory or management experience in healthcare operations is required.
Certification & Licensure
BLS Certification (Basic Life Support) -American Heart 'Healthcare Provider' (HCP) -AHA approved required. New hires must have American Heart Association (AHA) appropriate certification prior to completion of orientation.
Qualifications
Demonstrated leadership, management, and dynamic interpersonal skills required.
Ability to demonstrate a comprehensive understanding of practice operations, reimbursement and budget/finance required.
Excellent oral and written communication skills required.
Ability to mentor staff members required.
Ability to teach and demonstrate LEAN methodology required.
Demonstrated financial acumen and revenue cycle knowledge related to accounts receivable and billing of the business operations required.
