SALES ASSISTANT
JOB DESCRIPTION
DEPARTMENT: Catering Sales
REPORTS TO: Catering Manager/Director of Sales
STATUS: Non-Exempt
JOB SUMMARY:
Sales Assistant is responsible for processing, modifying and the managing of perspective groups and events with future clients and information about the facility while ensuring the implementation of sales strategy and processes to maximize room and event revenue.
PRIMARY JOB RESPONSIBILITIES:
- Schedule sales appointments in coordination with Sales Manager for maximum effectiveness in the market and solicit new and/or continued business.
- Responsible for inputting group blocks into the required system.
- Attend/Participate in all meetings and training required by Valley Hospitality.
- Oversee all aspects of reservations operations and group inventory management to ensure a high degree of accuracy in guest reservations, maximizing revenue opportunities and satisfaction ratings for guest and associates.
- Participates in day-to-day operations and establishes a pleasant relationship with staff.
- Communicates with client regarding rooming lists and cut-off dates.
- Assist in conducting site inspections and tours to visitors, clients, and vendors.
- Meet with clients on a walk-in basis to answer questions, give tours to help sales.
- Handle Sales/Catering phone calls, inquiries, emails, and correspondence.
- Assist in creating proposals/contracts for potential clients.
- Create/Revise proposals and BEO's in a timely manner.
- Maintain account files in database.
- Be present at events to ensure the client is happy and items requested have been fulfilled.
- Perform other duties as assigned by management.
DUTIES:
- Maintain a warm and friendly demeanor at all times.
- Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
- Maintain high standards of personal appearance and grooming, which includes the proper uniform and name tag when working.
- Comply at all times with Valley Hospitality standards and regulations to encourage safe and efficient operations.
- Attend meetings/training as required by management.
- Perform other duties as requested by Management.
