What are the responsibilities and job description for the Vendor Management/Project Coordinator position at Valley Shore YMCA?
The Valley Shore YMCA is looking for an energetic, responsible, and member service driven Vendor Management - Project Manager. This position serves as the central point of contact responsible for establishing relationships with YMCA vendors, including managing timelines and expectations while serving as a key resource for the YMCA leadership.

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. Under supervision of the YMCA CEO, the Project Coordinator provides support for the maintenance related needs of the Valley Shore YMCA facility and grounds and other related responsibilities.

ESSENTIAL FUNCTIONS:

Vendor Relations
- Develops and maintains strong relationships with vendors, ensuring effective communication and collaboration to address needs.
- Coordinates with vendors and the YMCA CEO on pricing of projects, timing of work to be performed, and contract approvals.
- Ensures the quality of vendors work aligns with YMCA standards and expectations.

Facility Management
- Performs routine facility and equipment maintenance to ensure they are in optimal condition.
- Asses the facility and presents preventative maintenance items to the YMCA CEO and the Property Committee.
- Coordinates with the YMCA Directors to ensure that the YMCA facilities meet the needs of members, programs, and events.

Project Identification and Reporting
- Conducts routine inspections of YMCA buildings and spaces, identifying areas requiring attention and recording all necessary repairs.
- Completes light repairs as directed and reports more significant issues to the YMCA CEO.
- Operates motorized and non-motorized equipment as required to support operational needs.

Safety and Hazard Management
- Adheres to all safety protocols and is vigilant in identifying and addressing hazardous conditions to protect members, staff, and self.
- Reports incidents and hazardous conditions promptly to the supervisor.

Participates in the Property Committee
- Provides the committee with reports and updates on current projects.
- Presents the committee with proposed projects that will need committee approval
- Completes other tasks and projects as assigned to support YMCA operations.

- Six months or more of building/facility related experience preferred
- Ability to read and interpret instructions, procedures, manuals and other documents

- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.

- Sufficient strength, agility and mobility to perform essential functions of the position and to supervise program activities and respond to emergencies and challenging situations.
- Ability to erect and stand on ladders and platforms of up to 8 feet.
- Sufficient physical strength and agility to carry out essential duties and safely lift 30lbs or more.
- Ability to work with paint, cleaning equipment, chemical compounds, solvents, cleaners and solutions in dry, liquid, powder, spray and aerosol forms.
- Ability to work in conditions that will create dirt and dust.
- Ability to perform essential maintenance to facility which may involve but not be limited to the following activities: semi-reaching to full-reach overhead; crouching; kneeling; bending to floor; shoveling; carrying; working in narrow and/or confining spaces: underground, overhead and at ground level; twisting at the waist, shoulders and legs; and lying on stomach and/or back.
- The noise level in the work environment may be loud when using electrical equipment.
