QUALIFICATIONS:
- Must possess, as a minimum, a High School Diploma or its equivalent.
- Should have previous hospital or long-term care experience with scheduling of staff.
- Must be able to clearly and effectively communicate, both verbally and in writing.
- Must be able to deal with frequent interruptions.
- Must possess the ability to deal tactfully with and willingness to work harmoniously with staff members.
- Must have good organizational skills.
- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must be able to sit for extended periods of time.
- Knowledge of computer processing and PC skills helpful.
- Must be able to lift, push, pull, and move a minimum of 30 pounds with or without the use of adaptive devices.

JOB SUMMARY:
The primary responsibility is to create and facilitate the schedule of all Licensed and Certified Nursing Assistant staff in the Department of Nursing. Creates a staffing schedule in monthly increments based on the staffing ratios set forth by the Administrator and the Director of Nursing. Coordinates staff requests for vacation and holiday time. Prepares daily Breakdown sheets. Provides the Payroll Department with weekly lists of sick, holiday, and vacation time to be paid out to the staff. Reconciles weekly payroll computer printout with the schedule. Maintains attendance records, facilitates the replacement of staff due to daily callouts and monitors use of overtime. Maintains and develop mandating and refusal lists. Assists the Director of Nursing and Assistant Director of Nursing with the hiring of new staff and coordinates orientation of new staff with the Staff Development Office.
ENVIRONMENTAL/WORKING CONDITIONS:
- Sits, stands, bends, lifts and moves intermittently during working hours.
- Is subject to frequent interruption.
- Must be able to move intermittently throughout the work day.
RESPONSIBILITY IN AN EMERGENCY:
All employees are expected to respond to emergency situations involving the safety of residents, other employees and the physical plant. This includes the ability to respond to audio/visual fire alarm system and to assist with the possible evacuation of residents.
ESSENTIAL JOB FUNCTIONS:
- Produce monthly time schedule for all Licensed and Certified Nursing Assistant Staff.
- Copies and distributes monthly schedule to Nursing Supervisor’s Office and assures attached to paper.
- Submits weekly list to Payroll Department for sick, holiday, and vacation time used by Nursing Department staff.
- Reconciles weekly payroll printout with Master Schedule.
- Communicates with the Director of Nurses his/her designee for overtime approval.
- Assures that overtime and Payroll Exception forms submitted to Payroll are authorized.
- Produces daily Breakdown sheets from Master Schedule delineating staff on each unit, each shift.
- Maintains for reference purposes a file of Breakdown sheets for previous three years.
- Maintain for reference purposes a file of the Master Schedule.
- Maintains the Attendance files for the Nursing Department.
- Facilitates changes in day to day, shift to shift scheduling of staff due to call outs, light duty, leave of absence, and staff requests.
- Tracks tardy, attendance, punch detail for disciplinary action.
- Works with ADNS/Staff Development/ICN to help organize, track paper graph, etc.
PROFESSIONAL DEVELOPMENT:
- Attends and participates in in-service education classes as required.
- Participates in staff meetings as appropriate.
- Participates in facility’s quality improvement activities as required.
- Assists with facility in identifying opportunities for quality improvement by sharing ideas/concerns with Director, Assistant Director of Nursing or Quality Improvement Coordinator.
SAFETY/SANITATION:
- Follows all safety, security, sanitation and infection control (including universal precautions) and hazardous materials policies and procedures.
- Reports all equipment malfunctions as well as unsafe/hazardous conditions to supervisor.
- Utilizes proper body mechanics when pushing, pulling, lifting, moving, or transporting residents, equipment, or supplies.
RESIDENT RIGHTS AND CONFIDENTIALITY:
- Maintains confidentiality of all resident information.
- Assures residents rights and privacy are protected at all times.
- Reports any violations or suspected deviations of resident rights and confidentiality to supervisor.
GENERAL FACILITY POLICY:
- Interacts with residents, family members, visitors, and all facility staff in a courteous, cooperative, and professional manner.
- Is neat, well groomed and dressed in accordance with facility’s established dress code.
- Facility identification badge/name tag is worn per facility policy.
- Attendance is dependable.
- Is punctual and adheres to work schedule.
