This order management position will specifically support Spare Parts ordering for the Gas Chromatograph business. The Spare Parts team in Houston primarily supports North America, however, periodically we are asked to support other regions within the business scope. Purchase Orders are received from our customers in various ways (i.e. by email, phone, and industry / customer specific portals), and require a quick turnaround time, within 1 - 3 business days of receipt of initial Purchase Order.

In this role you will :

Support the entire sales order cycle for incoming Purchase Order's received for Gas Chromatograph Spare Parts. This includes the quoting, processing of order, monitoring parts shipment, and timely payment. This position could also support our external domestic or international customers.

In general, the details of this role include but are not limited :

  • Checking availability of spare parts and working with Supply Chain to ensure parts are available
  • Answering Customer questions and handling any issues that arise
  • Guiding customers to ensure they are ordering specific and correct items
  • Answer incoming calls from 1-800 customer line
  • Monitor orders to ensure shipments are pushed out where there is inventory on hand, including working closely with our internal warehouse
  • Process return requests and ensure the return meet expected turnaround
  • Answer incoming group email requests that come from internal and external customers (checking status of orders, changes to orders, etc.)
  • Review for completeness on all incoming PO's and manage the order from beginning to end (including any customer disputes of invoices)
  • Work with customer and accounts receivable to resolve invoicing disputes
  • Quote pricing and lead time information

Role Requirements :

  • Education : High School Graduate (required); Associate degree (preferred)
  • Experience :
  • 3-5 years in customer support (required)

  • International / export experience (a plus)
  • Skills :
  • Sales Order processing (required)

  • Info LN system (a plus)
  • Procurement / Invoicing portals (e.g., Ariba, GEP, Actian) (a plus)
  • Microsoft Office suite (required)
  • Role Responsibilities :

  • Customer Support : Provide exceptional support to customers, addressing inquiries and resolving issues efficiently.
  • Sales Order Processing : Handle sales orders from receipt to fulfillment, ensuring accuracy and timely processing.
  • System Management : Utilize Info LN system for order management and tracking.
  • Procurement / Invoicing : Navigate procurement and invoicing portals to manage transactions and vendor interactions.
  • Documentation : Maintain accurate records and documentation for all transactions and customer interactions.
  • Collaboration : Work closely with other departments to ensure seamless operations and customer satisfaction.
