Position: Registrar
Reports to: Provost
JOB SUMMARY:
This position serves as a principal source of information on administrative, academic, and procedural matters to students, faculty, and staff. Responsibilities include maintenance of student records, course scheduling, faculty communication, and other administrative tasks related to the current day-to-day operations and planning for future semesters. The goal is to meet the academic and administrative needs of our students and faculty in a customer-driven environment.
RESPONSIBILITIES:
- Maintain student files, ensuring all personal and academic records are up-to-date and accurate in the student information system and hard copy versions.
- Following AACRAO’s Retention of Records Guide
- Complete academic reports assigned by Provost
- Monitor student records for compliance with academic regulations and program requirements for graduation.
- Oversee accuracy of all grades entered into Populi.
- Produce reports as necessary.
- Evaluate transfer credits and process transcript requests.
- Participate in classroom scheduling, working closely with the Academic Leadership Team, Accounts Payable and CFO to verify class start and end dates, holidays affecting classes, faculty contact hours and room assignments, and course needs.
- Create terms and sections as well as register students in Populi.
- Work with the Academic Liaison for syllabus format and content.
- Create the academic calendar.
- Oversee course catalog; continually review all publications, websites, and portal for accuracy.
- Participate in preparation and reporting of statistical data (SEVIS, IPEDS, SARA, ODHE) to appropriate bodies.
- Advise international students
- Oversee course evaluations
- Provide technical and analytical support in the development of strategies for student records maintenance and records retention. Participate in implementation of such strategies.
- Perform clerical functions incidental to office activities.
- Provide FERPA training for new staff and faculty.
- Schedule and meet with new faculty for new faculty orientations.
REQUIREMENTS:
- Bachelor’s required and minimum three- five years’ experience.
- Must be a self-starter and possess creative problem solving skills.
- Experience in registration processing and academic records management is required including utilization, and enhancement of student information systems.
- Excellent communication skill/leadership/organizational skill, planning ability, and proficient computer skills are needed (MS Word, Excel).
WORKING CONDITIONS: This is a full-time position requiring occasional evening/weekend availability, usually for Orientation, graduation, or other recruitment events. Work is normally performed in a typical interior/office work environment. Very limited physical effort required. Very limited exposure to physical risk. PLEASE INCLUDE A COVER LETTER.
