POSITION PROFILE:
Plan, organize and coordinate functions and guest rooms for assigned group accounts. Work with the meeting planner to ensure a successful event by obtaining rooming lists, establishing billing, overseeing group room blocks, overseeing amenity requests, handling on site event logistics, and coordinating outside vendors.
ESSENTIAL JOB FUNCTION:
Education: Two to four-year college degree or equivalent education/experience.
Experience: A minimum of two years sales experience in a related position. Hotel sales experience preferred.
Skills and Abilities: Ability to perform critical analysis and manage wide-range of information. Extensive knowledge of negotiating, principles and practices within catering sales, food and beverage, and sales procedures associated with the hotel industry. Excellent oral, written and presentation skills sufficient to produce sales and marketing communication that properly reflect the Foundation Image. Listen effectively. Ability to delegate, manage manpower and organize complex projects and establishes priorities consistent with department/hotel objectives. POSITION PROFILE:

ESSENTIAL JOB FUNCTION:
- Draft sales agreements for all sales managers based on provided terms and conditions, Review agreements for accuracy, clarity, and compliance with company policies, Send finalized agreements to clients for signature using appropriate tools or platforms, follow up with clients to ensure timely receipt and signing of agreements.
- Collect and verify client deposit information efficiently and accurately
- Process client deposits in a timely manner, ensuring compliance with company policies and regulations, Maintain organized records of all transactions and client communications.
- Write resumes for each group giving the hotel’s departments an overview and schedule of the conference and its objective, details of the meeting agenda, AV requirements, VIP’s billing arrangements and amenity requests.
- Assist the sales team in preparing proposals and contracts for conference and event bookings.
- Coordinate with clients and Sales team to gather specific requirements and preferences for their events
- Plan, up-sell and coordinate function details with clients to include but not limited to group room blocks, space requirements, meeting times, equipment, entertainment, menus, billing, etc.
- Create and execute accurate banquet event orders that include detailed information on the agenda, menu items, room set up and billing arrangements, based on Sales Managers/ Clients requests
- Strict adherence to SOP – Banquet Event Order Creation.
- Collaborate with sales managers and clients to gather requirements for event floor plans, Create detailed floor plans using Hotels Software system, Send initial floor plans to clients for confirmation and make adjustments as needed, Distribute finalized floor plans to the banquet team.
- Create and distribute effective internal and external communication (written and verbal). Exhibit a positive and involved team attitude to all hotel departments and maintain open communications with all guests, vendors and staff members for the best overall performance of the hotel.
- Meet the client upon arrival and conduct pre-conference reviews, including the introduction of Department Heads, overview of events, and guest arrival details and check lists as needed.
- Communicate last minute changes in group functions to hotel staff, and ensure accurate and satisfactory follow-up.
- Conduct post conference review with clients including the presentation of banquet checks when applicable.
- Review all bills that are sent to the client, ensuring they are accurate and timely in order to maximize return business. Compile any cancellation/attrition charges for the group.
- Maintain well-documented, accurate, organized and up-to-date Delphi client information in order to serve client and employer in the most expedient, organized, and knowledgeable manner.
