Position Overview
This is not your average assistant role. You’ll be the right hand to a high-performing executive — managing both Chairman and CEO calendars, fielding real-time changes, running errands, and ensuring daily operations stay smooth and efficient. We need someone quick on their feet, intuitive, discreet, and energized by the action.
Responsibilities
- Manage and coordinate a dynamic day-to-day calendar for both the Chairman and CEO
- Prioritize and schedule meetings, Zoom calls, and appointments with precision
- Handle personal and professional errands including lunch/coffee runs, dry cleaning, and essential pickups
- Book and track personal and business-related appointments, including doctor visits
- Coordinate travel logistics, restaurant reservations, and ad hoc bookings
- Coordinate internal and external events, meetings, and special engagements
- Support ongoing and one-off projects with research, coordination, or execution as needed
- Communicate with internal and external contacts on behalf of the executive
- Stay three steps ahead and act as a gatekeeper while maintaining utmost professionalism
What We're Looking For
- Previous experience as a personal assistant or administrative support for a fast-paced executive
- Calm under pressure, thrives on variety and a busy schedule
- Master of multitasking and calendar logistics
- Tech-savvy: confident using Zoom, Google Calendar, Gmail, and Office/Google Workspace
- Flexible, reliable, and maintains confidentiality with ease
- Valid driver’s license and access to reliable transportation
- Positive energy, solution-oriented mindset, and sharp intuition

Pay: $65,000.00 - $75,000.00 per year
