Job Description

The Administrative Coordinator works collaboratively with faculty on various scholarly activities within the Center for Research Development and Scholarship (CRDS) at Vanderbilt University. This position independently manages programs and / or activities for the work unit, prepares reports, creates project plans, and maintains records for multiple ongoing projects. They will serve as the coordinator independently assisting Principal Investigators with internal and external sponsored projects, manuscript preparation, article submissions and literature reviews. They must utilize specialized knowledge in the subject area of research and project planning. The person must be detail-oriented, self-motivated, and able to work independently or on a team. This is a hybrid role, with three days onsite and two days remote per week.

Our research mission is to transform the discipline of nursing through research, practice, and partnerships and to contribute to the social advancement and health of Tennessee, the nation, and the world. Vanderbilt School of Nursing (VUSN) supports the development of innovative research programs within VUSN that align strategically with other Vanderbilt University initiatives and that address national priorities to promote and protect health.

The Center for Research Development and Scholarship is directed by Dr. Mariann R. Piano, Senior Associate Dean for Research. The need for and direction of CRDS's services are determined through input from the faculty and postdoctoral fellows through formal monthly email solicitations of ideas and quarterly meetings devoted to research support issues to which all faculty and CRDS staff contribute. CRDS's staff functions cooperatively and most have been cross-trained within pre- and post-award grants management areas. Within the school, CRDS provides a full range of services and resources for faculty and postdoctoral fellows' projects.

The Center for Research Development and Scholarship supports many activities related to pre-award and post-award, federal, and non-federal grant submission and other scholarship activities. In addition, CRDS serves as the main section for which tenure-track faculty are appointed and receive mentorship.

Key Functions and Expected Performance :

Assist faculty with grant proposals :

  • Plan, manage, coordinate, support, and execute day-to-day activities in conjunction with the pre- and post-award team
  • Develop and provide to faculty members grant-related boiler templates such as proposal approval form (PAF), biosketches, other support, team management figure / structure, timelines, etc.
  • Assist faculty with grant proposals : Format, edit, and proof grant proposals and related documents according to funder specifications
  • Assist faculty with manuscript submissions :

  • Exercise independent judgment when coordinating and prioritizing proposal and manuscript submissions
  • Use EndNote to create / manage libraries and format citations / bibliographies
  • Format content and references according to journal-specific guidelines
  • Use PubMed and other online search engines to find and verify references
  • Provide technical and editorial support
  • Conduct and organize literature from library searches
  • Coordinate CRDS research-related activities :

  • Independently prepare, edit, distribute, and collect correspondence relating to research group meetings, and other research-related activities
  • Facilitate procurement of services, supplies, and equipment along with maintaining and retaining documentation for monthly reconciliation
  • Schedule itineraries and assist with travel arrangements for Visiting Scholars and guest travel
  • Assist with One Card purchases, process expense reports, and reconcile monthly expenditures
  • Consult with and advise the CRDS Leadership on VU / VUSN policies and procedures, as well as other issues related to faculty and VUSN communities
  • Ensure CRDS webpages and associated pages remain current
  • Develop and assist faculty with REDCap projects
  • Performs other duties and responsibilities as assigned to support grants and scholarships.
  • Education and Certifications :

  • Bachelor's degree from an accredited institution of higher education is required.
  • Experience and Skills :

  • 3 years of experience is required.
  • Demonstrated attention to detail is strongly preferred.
  • Strong organizational skills are strongly preferred.
  • Experience with all aspects of grant submission is strongly preferred.
  • Scientific manuscript editorial experience is strongly preferred.
  • Ability to make administrative / procedural decisions and judgments.
  • Ability to perform complex tasks and prioritize multiple projects.
  • Familiarity with grant submission processes.
  • Skill with manuscript preparation and submission, including the use of EndNote publishing and bibliography software.
