The Development Events Coordinator assists with planning and executing custom events in support of engagement and fundraising priorities and internal Development and Alumni Relations events/meetings.

Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. DAR is responsible for the identification, cultivation, solicitation, and stewardship of individuals and organizations whose charitable objectives are consistent with those of the university’s teaching and research programs. Key Functions and Expected Performance
- Assist with planning, organizing, and executing engagement and fundraising events.
- Coordinate logistics for internal DAR meetings, retreats, and events.
- Help with venue selection and logistics including name tags, registration, catering, and technology.
- Research vendors (catering, décor, musicians, bar).
- Provide onsite support for day-of activities.
- Track event expenses and timelines.
- Assist with event management tracker (core components, logistics, roles/responsibilities, outstanding tasks).
- Work collaboratively with DAR colleagues and campus partners.
- Handle other duties as assigned.
Supervisory Relationships
- This position has no direct supervisory responsibility, though may manage onsite staffing for assigned events.
- This position reports administratively and functionally to the Senior Director of Development Events.
Education and Certifications
- Bachelor’s degree, or the equivalent, is necessary.
Experience and Skills
- Minimum of three years of relevant experience managing events
- Excellent communication skills and meticulous attention to detail
- Strong computer skills (Word, Excel and FileMaker Pro) with willingness to learn new software
- Experience with database and project management software
- Highly motivated, service-oriented, professional team player with courteous interpersonal skills
- Capacity to perform in an intellectually rigorous and complex academic environment
- Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to shifting priorities
- Ability to exercise sound judgment in handling of confidential information
- Knowledge of social protocols, fine dining, and beverages
- Good understanding of space and logistics
- Ability to perform physical labor and work extended hours as needed
