Job Summary:
The Accounts Payable (AP) Specialist is responsible for processing invoices, verifying expenses, and ensuring accurate and timely payments to vendors in compliance with the policies and procedures of [Healthcare System Name]. Key Responsibilities:
- Process and review invoices for accuracy, proper approvals, and compliance with company policies.
- Verify coding of invoices to appropriate general ledger accounts and cost centers.
- Prepare and execute check runs, ACH payments, and wire transfers.
- Reconcile vendor statements and resolve discrepancies in a timely manner.
- Maintain and update vendor records, including W-9s and tax-related documentation.
- Assist with month-end and year-end closing activities, including accruals and reporting.
- Work closely with procurement and department heads to ensure proper expense documentation.
- Respond to vendor inquiries and communicate professionally to resolve issues.
- Ensure compliance with healthcare regulatory standards and internal audit requirements.
- Identify opportunities for process improvements and automation within the AP function.
Qualifications & Skills:
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
- Minimum of 2-4 years of accounts payable experience, preferably in a healthcare setting.
- Strong knowledge of AP principles, general ledger coding, and financial controls.
- Proficiency in accounting software (e.g., Lawson, SAP, Oracle, or similar systems).
- Advanced skills in Microsoft Excel and other Office applications.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Excellent communication and interpersonal skills.
- Understanding of healthcare compliance and HIPAA regulations is a plus.
