Accounts Payable Specialist

Job Summary:

The Accounts Payable (AP) Specialist is responsible for processing invoices, verifying expenses, and ensuring accurate and timely payments to vendors in compliance with the policies and procedures of [Healthcare System Name]. This role requires a keen eye for detail, strong organizational skills, and the ability to manage high-volume transactions while maintaining excellent vendor relationships.

Key Responsibilities:

• Process and review invoices for accuracy, proper approvals, and compliance with company policies.
• Verify coding of invoices to appropriate general ledger accounts and cost centers.
• Prepare and execute check runs, ACH payments, and wire transfers.
• Reconcile vendor statements and resolve discrepancies in a timely manner.
• Maintain and update vendor records, including W-9s and tax-related documentation.
• Assist with month-end and year-end closing activities, including accruals and reporting.
• Work closely with procurement and department heads to ensure proper expense documentation.
• Respond to vendor inquiries and communicate professionally to resolve issues.
• Ensure compliance with healthcare regulatory standards and internal audit requirements.
• Identify opportunities for process improvements and automation within the AP function.

Qualifications & Skills:

• Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
• Minimum of 2-4 years of accounts payable experience, preferably in a healthcare setting.
• Strong knowledge of AP principles, general ledger coding, and financial controls.
• Proficiency in accounting software (e.g., Lawson, SAP, Oracle, or similar systems).
• Advanced skills in Microsoft Excel and other Office applications.
• Ability to manage multiple priorities in a fast-paced environment.
• Strong attention to detail and problem-solving skills.
• Excellent communication and interpersonal skills.
• Understanding of healthcare compliance and HIPAA regulations is a plus.
