Your Role as a Receptionist:The Receptionist is key to keeping our office running smoothly. They schedule appointments, especially for executives, and set up meetings, making sure to invite all the right people. According to our company policies, this role also welcomes visitors, answers calls, takes messages, and keeps the reception area tidy and safe. Besides these tasks, this role is responsible for keeping files in order, arranging food for meetings, helping management with note-taking and other office jobs. They’re in charge of planning company events and ordering office supplies.
Work Hours: Monday through Friday
Compensation: $17.60 - $20 per hour

Essential Duties And Major Responsibilities
Receptionist, Scheduling, administrative, and Communication
- Schedule appointments for all staff, with a focus on executives
- Organize and send invites for meetings
- Greet, welcome, and direct visitors appropriately
- Answer and route phone calls
- Take and pass on messages
- Maintain a clean and safe reception area by following procedures and rules
- Assist management with minute-taking and other routine tasks
- Organize and maintain files
- Handle mail sorting and dispatching
- Coordinate catering for meetings
- Lead the planning of corporate events
- Research and suggest new supplies for consideration
- Carry out other duties as needed to support office efficiency
- High school diploma or equivalent
- Familiarity with phone systems, copiers, and basic office equipment
- Previous experience with Microsoft Office software is preferred
- Strong Customer Service
- Experience with GDP and CGMP preferred
- Strong verbal and written communication skills to interact clearly with customers, vendors, and other employees
- Proficient organizational skills to keep accurate records and find important information quickly
- Strong/advanced time management skills to prioritize and complete various daily tasks
- Patience and listening skills to respond appropriately and interact positively with customers
- Interpersonal skills to create a pleasant customer experience, such as being personable and attentive
- Must be 18 years of age or older
