Executive Assistant to the CEO

We are seeking a highly organized and proactive Executive Assistant to support the CEO across multiple real estate ventures, including investment, property management, and development projects. Responsibilities
Executive & Administrative Support
- Manage the CEO’s calendar, scheduling, and inbox, ensuring time is prioritized effectively
- Handle email communication and follow-ups with investors, lenders, vendors, and key stakeholders
- Draft, proofread, and organize documents, reports, and presentations
- Track action items and ensure follow-through on key initiatives
- Create and maintain systems and processes to improve efficiency across operations
Real Estate Operations & Project Coordination
- Assist with real estate transactions, property management, and investment activities
- Support in tracking project timelines, budgets, and deliverables
- Communicate with brokers, property managers, contractors, and lenders as needed
- Maintain organization of property files, lease agreements, and financial records
- Conduct market research and data collection for real estate opportunities
Financial & Bookkeeping Oversight
- Manage invoices, payments, and expense tracking
- Ensure financial reports are organized and accurate
- Work closely with the bookkeeper to streamline financial records and reporting
Qualifications
- 3 years in a administrative support or executive assistant role.
- Highly organized and detail-oriented, with the ability to manage multiple tasks efficiently
- Proactive and resourceful, able to anticipate needs and solve problems independently
- Strong communication skills, with experience handling high-level correspondence
- Experience in real estate, property management, or investment (preferred but not required)
- Proficiency in technology and systems, including Google Suite, QuickBooks, CRMs, and project management tools
- Trustworthy and discreet, with experience handling sensitive business and financial information
- Ability to work EST hours, with flexibility to accommodate time-sensitive priorities
Preferred Qualifications
- Background in real estate investment, brokerage, or property management
- Experience with financial tracking and bookkeeping software
- Familiarity with contracts, leasing, and real estate documentation
