What are the responsibilities and job description for the Customer Billing Specialist I position at Veritiv?
Job Purpose:
Our Credit Operations Specialist will be responsible for carrying out accounting clerical duties associated with a specific accounting function.Job Responsibilities:
- Utilize various credit systems to help fraud prevention of Credit Card accounts.
- Administer programs, projects and/or processes specific to the operating unit served.
- Work on complex customer master situations and discover root problems and provide solutions.
- Create, amend and administer customer accounts on a daily basis.
- Process all credits for Veritiv or subsidiary (Paper Plus) locations and customer credits that affect warehouse inventory.
- Reconcile third party freight vendor invoices (Data Freight) on a weekly basis.
- Create additional billing to customers for charges (freight, cutting, etc.) or inventory that has been delivered but not billed.
- Other related duties and responsibilities as required or assigned.
Additional Responsibilities & Qualifications:
- Address the more common variety of scenarios encountered that causes billing exceptions/ errors
- Complete common requests for exception billing to update quantity, item, price, misc. charges or freight prior to billing per established guidelines
- Complete common requests for credits and debits to correct quantity, item, price, cost, misc. charges, freight and other billing errors per established guidelines
- Follow established approval matrix for processing credit memos
- Runs reports to identify outstanding orders for follow up and works with Operations, Sales, and Customer Experience to resolve issues
- Support locations’ requests during physical inventory
- Take appropriate action that accurately impacts inventory, commission, rebate, and other costs
- Processes common requests for additional billings in the order entry system, as required
- Manage assigned tasks within a group mailbox and/ or SharePoint site
Work Experience:
- 3-5 years of related job experience.
- Ability to manage multiple projects, work under pressure, and adapt to sudden changes in the work environment.
- Basic experience of simple office/operational systems.
- Excellent verbal, written, people, and diplomacy skills are required.
- Proficient with Microsoft Office Suite.
- Strong customer service skills (friendly, courteous and helpful).
Education:
- Bachelor's Degree Preferred
