This Administrative Assistant and Office Manager will provide primary support to our team located at our office in Centerton, Arkansas. The ideal candidate will have a high level of initiative, attention to detail, teamwork and professionalism. Under limited supervision, this position provides diverse office administrative support, by performing a variety of routine and non-routine duties.
Major On-site Duties/Responsibilities:
The tasks include, but not limited to:
- Managing day-to-day office operations.
- Assist various departments as needed.
- Answering telephone calls and taking messages, screening and redirecting calls.
- Reviewing and responding to incoming email and distributing mail and packages.
- Identifying and tracking incoming email requests for to-do’s and delivery deadlines.
- Management of work environment to meet business and team member needs.
- Assist in planning and organizing meetings.
- Manage logistics including off-site meetings, booking rooms in 3rd party locations, and incorporating meeting logistics as appropriate.
- Team support in coordination and scheduling of travel arrangements and processing expense reports.
- Team support with administrative tasks.
- Manage and expense office related accounts and purchases.
- Inventory and ordering of office and kitchen supplies, including food and beverages.
- Communicate with property management to schedule building maintenance as needed.
- Speaking with Owners and Tenants;
Minimum knowledge, skills and abilities required to be successful in the position:
- High school diploma required.
- Associates or bachelor’s degree is strongly preferred.
- Minimum 3 years progressive office administration experience.
- Customer Service 3 Years.
- Proactive problem solver.
- Manage and communicate on-going projects within the office.
- Technology and social media fluency preferred.
- Ability to manage and set multiple priorities.
- Analytical ability and personal initiative.
- Strong attention to detail and communication skills (oral and written).
- Follow-through and responsiveness.
- Excellent organizational/time management skills.
- Ability to handle confidential information.
- Ability to use good judgement and discretion.
- Knowledge of Microsoft Software.
