What You Bring to the Table:
A high school diploma (minimum); additional education is a plus.

At least three years of administrative experience and two years in an HR support role (preferably in a nonprofit or government setting).

Strong proficiency in Microsoft Office (Word, Excel, Outlook, Teams, and SharePoint) and familiarity with Zoom.

Excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

Strong interpersonal and communication skills, with the ability to maintain confidentiality and professionalism.

A valid driver’s license or reliable transportation for occasional event support.

Nature and Scope of Position

This key position provides excellent customer service to members along with administrative support working closely with the Operations Team, all VLCT departments and key external vendors. The Administrative Assistant works in-person at the VLCT offices and supports a largely remote workforce. This position performs and oversees the reception functions, telephone and voice mail systems, catering requests, mail operations and minor human resources functions. This position works closely with the Membership and Administrative Coordinator. This position reports to the Director of Operations.

Duties and Responsibilities – Reception and Admin

Be the first point of contact for VLCT members by acting as office receptionist (answering multi-line telephone console, screening and routing calls and VLCT’s general email box to appropriate staff members, responding to requests for general information and greeting visitors).

Monitors and reroutes the general inquiries that come through VLCT’s association management system - Municipal Access Portal (MAP).

Approves classified ad submissions through MAP.

Accepts, date-stamps, and distributes daily mail (physically and electronically) and packages to appropriate staff.

Trains front desk relief staff in reception functions and updates intranet with appropriate information and/or procedures. This includes maintaining the Front Desk Manual (a list of job duties, responsibilities, and other necessary information) to inform front desk relief staff how to route calls and emails.

Provides central communication point for daily staff schedules and events and keeps supervisor, front desk relief staff and any other affected staff informed.

Provides support for VLCT events by logging in to Zoom, verifying registrations and sending the join links to members, as needed, and especially during live events.

Maintains staff listing, including individual staff calendars, telephone extensions, staff cell phone numbers, and distributes updates as necessary. Maintains appearance and supplies of the reception area, the Cafe and the Vermont Room.

Manages catering for all VLCT board and committee meetings. Sets up coffee and luncheon station prior to the meetings and cleans up conference room afterward. Washes dishes as necessary.

Assists with office maintenance requests, working with the Director of Operations, as necessary.

Purchases office supplies and keeps an inventory, comparing prices and negotiating to get the best possible price for each product.

Prints, copies, collates, assembles, folds, and binds documents for mailings, events, webinars, and training as needed, occasionally stuff name tags.

Provide first point of contact for maintenance of office equipment and printers, enlisting IT Director as needed.

Responsibility for all aspects of VLCT’s incoming and outgoing mail. Handling online postage meter account with U.S. Post Office. Maintaining the postage machine, the account and staying up to date with any USPS changes and postage increases.

Processes conference room rental agreements and accepts payments.

Ability to lift to 25 pounds.

Perform other duties as assigned or approved by the Director of Operations.

Duties and Responsibilities - Human Resources Support

Under the supervision of the Director of Operations

Maintains accurate employee records and ensures compliance with federal, state, and organizational policies.

Completes first reports of injury and follow up with employees, medical providers and insurance company on workers’ compensation claims.

Supports benefits administration, including enrollment, updates, and answering employee inquiries, using appropriate HRIS tools when available.

Reviews benefit related invoices.

Assists with recruitment processes, including posting job advertisements, scheduling interviews, checking references, and onboarding new employees.

Helps coordinate employee training sessions, professional development opportunities, and compliance activities.

Assists in organizing staff engagement initiatives to foster a positive work environment.

Salary : $55,000 - $62,000
