What are the responsibilities and job description for the Policy Services Associate I - Temporary position at Vermont Mutual?
This is a Temporary, 6-month position with the possibility to become permanent.
To operate the central company switchboard and perform various policy service associate tasks, as required. This is an in office role, not eligible hybrid work.
CHARACTERISTIC DUTIES & RESPONSIBILITIES
>Primary
- Answer company telephone lines.
- Determine nature of the call
- Route calls to appropriate staff/department
- Answer various standard questions about company operations/services
- Take messages
- Assure coverage of the switchboard.
- Perform telephone dispatcher functions in cases of emergency.
- Monitor security of front office and take appropriate action if necessary
- Place all calls for emergency service for the company (i.e. call for ambulance or fire)
- Make necessary public announcements and page employees within the organization
- Make sure that visitors sign in and are escorted by an employee when leaving the reception area
- Sign for deliveries
- Assist assembly of outgoing Agency mail
- Assist in the assembly of outgoing mail to insured’s
- Prepping of incoming mail or files for scanning
- Indexing all incoming electronic mail and faxes for Claims and Underwriting area
>Secondary
- Backup other Policy Services Associate duties, as required.
- Train selected staff for coverage during absentee periods (i.e. breaks, illness, vacation)
- Performs other duties or special projects as required or as assigned.
SUPERVISION RECEIVED
Moderate supervision is received from the Policy Services Supervisor or other senior staff members as required.
QUALIFICATIONS
- A high school education or a combination of education and experience from which comparable knowledge and skills are acquired.
- Excellent attendance record is critical for this position.
- Good basic reading, spelling, and filing skills.
- Good typing/data entry skills.
- Good interpersonal knowledge and skills.
- A pleasant voice and exceptional telephone skills, meaning the ability to converse clearly with diverse personalities and deal with callers in a courteous and efficient manner.
- Ability to deal effectively with various Business Units.
- Physical ability to lift and carry moderately heavy stacks of files, documents or supplies.
PHYSICAL DEMANDS/WORKING CONDITIONS
- Predominately sedentary office position.
- Repetitive motions answering switchboard & preparing mail.
- The work environment is representative and typical of similar jobs in comparable organizations.
