Position Summary :
Provide a variety of administrative functions to support the Executive Officers of the company and other individuals as requested.
Duties and Responsibilities :
Essential Functions :
1. Manage and maintain calendars of the CEO and other executives.
2. Prepare and distribute reports, memos, letters, presentations or other documents using software applications.
3. Open and process the CEO's mail and incoming communications.
4. Prepare board packets and arrangements for Board of Director meetings and holiday luncheons.
5. Utilize and research online travel sites to make cost-effective travel arrangements for executives and other managers, and prepare written confirmation of travel and event details to individuals.
6. File and retrieve corporate documents, records and reports.
7. Plan and coordinate annual management Christmas party.
8. Review and approve monthly invoices, subscription and publication invoices and organizational memberships.
9. Prepare Coupa accounting software requests (contributions, sponsorships, etc.) and forward to appropriate organization with necessary documentation.
10. Process outgoing mail and FedEx packages and order postage for meter.
11. Perform notary services as requested.
12. In conjunction with the President or CEO, coordinate utilization and distribution of company tickets to sporting events.
13.Assist inbound phone callers with directions, transferring calls, or answering questions in a polite and professional manner.
Marginal Functions :
1. Monitor supply inventories for office and conference rooms and place orders as needed.
2. Greet visitors and determine whether they should be given access to specific individuals.
3. Provide telephone support to Receptionist and screen and transfer incoming calls.
4. Serve as back-up to Manager of Marketing and Inside Sales in the preparation of customer contracts and rate quotes for sales personnel.
Job Specifications :
1. High School diploma or GED
2. 5 years prior administrative experience assisting senior management.
3. Intermediate / advanced computer skills using Microsoft Office and software applications and accurate typing skills (40 wpm minimum).
4. Currently commissioned as Notary Public or willingness to obtain such appointment.
5. Exceptional interpersonal and communication skills, written and verbal.
6. Excellent prior attendance and punctuality record.
7. Positive attitude and pleasant, professional demeanor.
8. Exhibits accuracy, attention to detail and ensures preservation of confidential information.
9. Ability to prioritize, organize and handle multiple tasks in a fast paced office environment.
10. Available and willing to work overtime as needed.
