What are the responsibilities and job description for the Manager, Project Administration position at Vertiv?
RESPONSIBILITIES
Project Planning and Order Processing
- Work closely with project managers and cross-functional teams (e.g., operations, procurement, services, and accounting) to ensure effective financial planning and order management of projects.
- Provide financial guidance and support for decision-making on major project order structure, resource allocation, and financial risk management.
- Identify potential financial risks or discrepancies, recommend corrective actions, and escalate issues when necessary.
- Resolve project accounting or system issues as they arise to keep the project on track.
- Ensure that the project sales order is formally closed, deliverables are handed over, and client requirements are met.
Project Financial Control and Monitoring
- Coordinate with different Vertiv Business Units to ensure accurate financial forecasting and cost tracking.
- Monitor and track project spending against budgets to ensure that projects stay on proper financial track.
- Ensure that the financial aspects of orders (e.g., invoicing, payment terms, cost allocation) are properly managed and communicated to the finance team.
- Prepare and present regular financial reports to leadership and forecasts, providing insights on project status, budget deviations, and cost performance.
- Ensure that all orders and projects comply with regulatory and organizational policies, including safety, environmental, and contractual standards.
- Implement and maintain financial systems and processes to track project costs, billing, and financial performance. Including Oracle CPQ, Oracle EBS, Oracle Projects.
- Implementation, Configuration and Administration of management software, currently PROCORE and Smartsheet.
Team Leadership and Development
- Provide leadership, direction, and motivation to team members.
- Manage and lead a team of Project Administrators. This includes assigning tasks, providing guidance, and ensuring that team members have the resources they need.
- Ensure collaboration among team members and departments.
- Provide training to staff on systems, processes, and best practices in project planning and order processing.
- Handle any interpersonal conflicts or performance issues within the team, ensuring a positive and productive work environment.
QUALIFICATIONS
Minimum Job Qualifications:
- Bachelor’s degree
- 10-15 years of supporting large customer facing projects or similar experience
- Proven track-record in creating sound process innovation strategies and transformational KPI’s
Preferred Qualifications:
- Strong analytical skills and impactful communicator
- Experience leading cross functional teams and motivating key stakeholders towards common goals
- Ability to deal with ambiguity, manage complexity, while driving for clarity in process and capabilities
- Ability to lead change and drive process adoption
