What are the responsibilities and job description for the Document Controller, Offshore Wind position at Vestas?
Responsibilities
- Prepare and issue a Master Document Register (MDR) for Vestas' offshore wind projects. This register shall list all technical documents and drawings deliverables which are planned to be issued for the project, and shall be issued in accordance with the milestones defined in the offshore wind contracts. The MDR shall be continuously updated and issued to the project customer monthly.
- Identify, organize, and consolidate document control plans, across various functional areas
- Administer and monitor all contractual documentation according to contract
- Collect site specific documentation work instructions
- Collect, structure and update as-built documentation (PBU documentation, site documentation, R&D documentation and general documentation)
- Organize, maintain, and ensure accuracy of all technical (and some non-technical) documentation related to Vestas' offshore wind projects.
- Handle development and maintenance of internal and external documentation databases to ensure efficient access to accurate data
- Become a subject matter expert (SME) for document control in Procore understanding it's features and capabilities)
- Develop folder structure and establish naming conventions to be used consistently around AME Offshore Construction projects
- Write procedures in relation to documentation
- Work with stakeholders to establish a governance process for databases and document storage management
- Provide business design expertise and process coaching to others within the organization
- Provide documentation and process support to end users
- Coordinate with global construction management team to implement a digital librarian (DMS) system
- Administer and monitor all contractual documentation according to contract
- Support handover of documentation to Service and Customer
- Create fillable PDF forms
- Ensure that all project-specific technical documentation and manuals are in place and stored correctly
- Train the project team in documentation awareness and process updates
- Coordinate with quality control teams to support auditing functions and to ensure compliance with document management
- Support and improve business processes and system initiatives
- Other assignments as necessary
Qualifications
- High School diploma required, Bachelors' degree or equivalent in education and experience preferred
- 3 - 5 years of experience in administrative, document management, or technical support role
- Experience with large construction projects, an international environment or wind or energy industry preferred
- Collaboration and communication initiative, including written and verbal skills. Note: some journalism or technical writing and editing experience preferred
- Demonstrated proficiency in Microsoft Office suite
- Knowledge of how to handle documents in a project management application
- Experience with Document Management System (DMS)
- Experience with establishing naming conventions and governance of DMS preferred
- Ability to perform under high priority and innovative work environment handling multiple deliverables
- Good attitude for teamwork
- Maintain high standards of ethical conduct, honesty, and integrity
Competencies
- English communications skills (verbal, listening, written, meeting management, presentation)
- Proficiency in Microsoft Office Suite computer skills (Windows, Word, Excel, PowerPoint, Outlook and SAP)
- Ability to operate and communicate efficiently (50 wpm) via a computer
- Ability to implement processes to efficiently conduct required administrative tasks
- Ability to effectively participate in a cross-functional team
- Ability to establish and maintain good relationships with internal and external stakeholders at all levels
- Ability to influence across organizational boundaries with a solid focus on working with and understanding different cultures
