Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a solid understanding of office management practices. Capable of performing a variety of duties in support of Hospice & Palliative Care services.
Compensation: Pay rate will be determined based on level of experience.
Responsibilities
- Supervise and coordinate office activities to ensure efficient workflow and productivity.
- Provide direction to assigned clinical staff in order to assure daily operations and service management is timely and meets patient/customer needs.
- Organizes the agency in accordance with the laws and regulations pertaining to the operation of a hospice in the state where the agency is licensed.
- Facilitates system for communication among the hospice staff, hospice care team, and patients/family units and/or legal guardians/representatives when applicable.
- Develops and maintains personnel records on all staff members and patients.
- Oversee vendor management, including negotiating contracts and maintaining relationships with suppliers.
- Handle clerical duties such as filing, data entry, and maintaining office supplies inventory.
- Implement and maintain phone systems to facilitate effective communication within the office.
- Assist in medical office management tasks as needed, ensuring compliance with regulations and best practices.
- Plan and organize company events, meetings, and other gatherings to promote team engagement.
- Utilize QuickBooks for financial record keeping and reporting as required.
Experience
- Proven experience in an office management role or similar position is preferred.
- Familiarity with payroll systems and vendor management practices is highly desirable.
- Strong clerical skills with attention to detail and accuracy in all tasks performed.
- Experience with phone systems and medical office management is a plus.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Proficient in QuickBooks or similar accounting software is advantageous.
- Hospice or Home Health Care experience required.
