Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a solid understanding of office management practices. Capable of performing a variety of duties in support of Hospice & Palliative Care services.

Compensation: Pay rate will be determined based on level of experience.

Responsibilities

  • Supervise and coordinate office activities to ensure efficient workflow and productivity.
  • Provide direction to assigned clinical staff in order to assure daily operations and service management is timely and meets patient/customer needs.
  • Organizes the agency in accordance with the laws and regulations pertaining to the operation of a hospice in the state where the agency is licensed.
  • Facilitates system for communication among the hospice staff, hospice care team, and patients/family units and/or legal guardians/representatives when applicable.
  • Develops and maintains personnel records on all staff members and patients.
  • Oversee vendor management, including negotiating contracts and maintaining relationships with suppliers.
  • Handle clerical duties such as filing, data entry, and maintaining office supplies inventory.
  • Implement and maintain phone systems to facilitate effective communication within the office.
  • Assist in medical office management tasks as needed, ensuring compliance with regulations and best practices.
  • Plan and organize company events, meetings, and other gatherings to promote team engagement.
  • Utilize QuickBooks for financial record keeping and reporting as required.

Experience

  • Proven experience in an office management role or similar position is preferred.
  • Familiarity with payroll systems and vendor management practices is highly desirable.
  • Strong clerical skills with attention to detail and accuracy in all tasks performed.
  • Experience with phone systems and medical office management is a plus.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficient in QuickBooks or similar accounting software is advantageous.
  • Hospice or Home Health Care experience required.
