About the Position:
The Human Resources Coordinator serves as an integral part of the HR team. The HR Coordinator is responsible for managing and supporting the operational aspects of human resources, ensuring smooth HR processes and compliance. This role is responsible for the day-to-day HR operations. Key duties include managing the pre-employment process, recruiting qualified candidates, posting jobs, maintaining the Applicant Tracking System (ATS), conducting and coordinating interviews, attending job fairs, facilitating new hire onboarding and orientations, and maintaining personnel files. Additionally, this position tracks HR data metrics generating HR reports for Leadership and assists in analyzing data for decision-making.
Compensation Range:
The base pay for this position is $22.00 - $26.00 per hour.
Essential Duties and Responsibilities:
Operations:
- Responsible for meeting with new hires on first day to complete new hire paperwork, such as I9’s including entering employees into our HRIS, ensuring required documentation is obtained, and all employees are trained on the Agency’s policies and procedures.
- Maintain spreadsheet on background and drug screen results, TB tests, CPR, accreditation certificate.
- Responsible for employee-related data, such as turnover reports, debarments, EEOC reporting, LiveScans, and the DOL website.
- Coding invoices surrounding the recruitment and hiring process
- Subject Matter Expert (SME) on Relias; responsible for maintaining an accurate database, as well as ensuring all trainings have been completed as needed.
- Responsible for entering employee changes in Paycom and verifying other changes made by team members.
- Responsible for scheduling and facilitating new hire orientation for new employees.
- Assists the VP, Human Resources with keeping department’s Balanced Scorecard current.
- File employee files and employee paperwork in employee files
- Coordinates the quarterly All Staff meeting.
- Manages VVSD’s annual employee survey.
- Supports the HR Specialist as needed.
Talent Acquisition:
- Use various methods to recruit and network with potential candidates including social media platforms, networking events and job fairs.
- Build a pipeline of candidates for key roles and hard to fill positions.
- Manage external/internal job posting.
- Ensure the necessary paperwork is completed promptly and accurately for all new hires.
- Conduct new hire orientation including the creation of the HR File, entering EE into payroll system, ensuring documentation is obtained, and all employees are trained on the Agency’s policies and procedures.
- On an on-going basis, assess the effectiveness of the recruitment process to assist in continuous improvement efforts. Meet with new hires thirty days in to solicit feedback.
- Conduct preliminary interviews with recruits to gauge interest, culture fit and salary requirements.
- Provide feedback to management about details regarding applications.
- Actively work toward building a diverse and qualified team to support the organization.
- Provide weekly, monthly, and annual reporting to leadership to track the functions outcomes and progress towards goals.
Qualifications
Qualifications:
- High School Diploma required; college degree is preferred, but not required.
- A minimum of 1 year HR Coordinator or 2 years HR Assistant experience.
- A minimum of 1-year Talent Acquisition/Recruiting experience.
- Familiarity an HRIS highly preferred.
- Microsoft Office Suites Proficient (Word, Excel, PowerPoint, and Outlook.
- Ability to follow directions and execute tasks successfully within an assigned time frame.
- Demonstrates strong initiative and is a self-starter.
- A team-oriented, self-motivated individual capable of multi-tasking
- Interpersonal communication skills to interact professionally with a diverse population.
Physical Requirements:
- Ability to bend and lift light objects.
- Ability to sit for extended periods of time while viewing a computer monitor.
- Dexterity of hands and fingers to operate a computer keyboard.
- Capable of hearing and speaking to exchange information.
- Seeing to read reports and data.
