Overview
The Community Programs Coordinator serves as both the Petsmart Charities Project Coordinator and the Client Service Representative (CSR) for Vets in Vans, a nonprofit mobile veterinary clinic that helps to provide access to affordable veterinary care. This role combines front desk client service responsibilities with community outreach, ensuring that underserved pet owners have access to veterinary care, vaccine clinics, and educational workshops. Work time is divided between the two roles with priority given to fulfilling the Petsmart Charities Project responsibilities.
The ideal candidate is highly organized, takes initiative, and is passionate about supporting the human-animal bond. They should enjoy working with both people and pets while facilitating communication between the Vets in Vans team and Petsmart Charities leadership.
Community Outreach & Project Coordination
- Act as the primary liaison between Vets in Vans and Petsmart Charities leadership.
- Plan and coordinate outreach vaccine clinics and educational workshops for community members in Visitacion Valley and Sunnydale.
- Build relationships with local organizations, community leaders, and pet owners to expand outreach efforts.
- Ensure smooth event logistics, including scheduling, volunteer coordination, and securing resources.
- Track and report data related to outreach initiatives, ensuring alignment with grant requirements and nonprofit goals.
- Develop educational materials and provide pet health resources to the community.
- Assist with inventory management and ordering of supplies.
Client Service & Front Desk Responsibilities
- Serve as the first point of contact for clients, ensuring a warm and compassionate experience.
- Greet clients and pets, check-in and discharge patients, and schedule appointments.
- Handle client communication via phone and email, including gathering medical records and sending appointment reminders.
- Process payments, explain financial assistance options, and ensure access to care.
- Maintain accurate medical records and organize daily clinic logistics.
- Provide information on pet health services, preventive care, and stress-free transport.
Qualifications and Skills
- Passion for animal welfare and community outreach.
- Strong organizational and time management skills.
- Ability to take initiative and work independently.
- Excellent communication skills (verbal and written).
- Comfort handling pets and assisting with basic veterinary logistics.
- Experience in customer service, veterinary reception, or nonprofit work preferred.
- Fluency in additional languages (e.g., Spanish, Cantonese) is preferred.
- Proficiency in Microsoft Office, Google Suite, and scheduling software.
- Ability to lift and move up to 50 pounds (e.g., pet carriers, supplies).
- Comfortable working in mobile clinic settings and outdoor environments.
