- Billing & Invoicing: Prepare, review, and process billing statements for projects in accordance with contract terms, ensuring timely and accurate invoicing for construction and preservation services
- Contract Compliance: Verify billing amounts and adjust discrepancies in accordance with contract terms, customer agreements, and project scope
- ERP System Management: Utilize ERP systems (preferably VistaView or similar) to track billing data, maintain accurate records, and support month-end close processes
- Reporting & Analysis: Generate and analyze billing reports to identify trends, variances, and potential issues. Work with the Controller to ensure all billing data is accurate and current
- Dispute Resolution: Serve as the primary point of contact for internal and external customers regarding billing discrepancies or inquiries. Investigate and resolve issues efficiently and effectively
- Collaboration: Work closely with project managers, operations, and accounting teams to ensure smooth billing cycles and accurate reporting
- Process Improvement: Identify opportunities for process improvements in the billing cycle, including automation, efficiency improvements, and error reduction
- Experience: Minimum 2-3 years of experience in billing or accounts receivable roles within the construction or related industry
- ERP Expertise: Proficiency in ERP systems (VistaView, NetSuite, SAP, or Microsoft Dynamics preferred)
- Advanced Excel Skills: Strong ability to manipulate and analyze data using advanced Excel functions, such as pivot tables, VLOOKUP, and macros
- Communication Skills: Excellent written and verbal communication skills, with the ability to effectively collaborate with internal teams and resolve customer issues
- Problem-Solving: Strong ability to identify issues and take proactive steps to resolve billing discrepancies and improve processes
- Organizational Skills: Exceptional attention to detail with the ability to manage multiple tasks and deadlines in a fast-paced environment
- Education: A Bachelor's degree in Accounting, Finance, or a related field is preferred but not required
