Part-time position working closely with the scientific team to purchase and receive lab supplies and consumables. 16-18 Hours/week
Vibrant Biomedicines is a newly formed biotechnology company developing innovative vaccines against important infectious diseases. Backed by major biotech venture capital firms and led by experts with decades of vaccine discovery and development experience in major pharmaceutical companies, we are currently operating in stealth mode.
Our organization is currently looking for a part-time Purchasing and Receiving Coordinator to support procurement activities for a small team of scientific researchers based in Horsham, PA. The role requires onsite attendance. The ideal candidate enjoys problem-solving, customer service, and can work well in a dynamic, evolving organization.
Reports to: Head of CMC
Responsibilities include but not limited to:
1. Assists in procurement of goods to advance scientific research operations
2. Generates Purchase Orders and places orders (as needed). Sends copies of POs to accounting.
3. Supports vendor onboarding with Finance team.
4. Receives incoming shipments and verifies items listed on PO match items received. Inspect shipments for damage.
5. Communicates shipping issues or discrepancies with vendors/suppliers and works to prompt resolution.
6. Reconciles invoices with POs. Forward invoices to AP mailbox.
7. Collaborates on A/P issues related to vendors: communicates invoice discrepancies with vendors/suppliers in a timely manner and works to prompt resolution.
8. Maintains and organizes all purchasing, shipping and billing records including order confirmations, POs, invoices, packing slips, and shipping documents.
9. Assists with new vendor account applications and maintenance of existing accounts
10. Provides recommendations to improve purchasing and receiving systems
11. Ensures all receiving and invoicing activities comply with company policies and industry regulations.
12. May occasionally perform tasks in the Bio-Safety-Level 2 (BSL2) Lab facility. Adherence to dress and safety protocols including Personal Protective Equipment (PPE) will be required for these tasks. Safety trainings will be provided.
13. Support coordination with Facilities management company.
14. Provides occasional support for onsite meetings and events including catering ordering.
15. Other duties as assigned.
Qualifications
- Able to work independently as well as in a team environment.
- Comfortable working in a diverse, multicultural environment.
- Reliable, able to work under pressure and meet deadlines
- Good communication skills, professional demeanor
- Preferred: 2 years of purchasing experience, preferably in the Life Sciences industry
- High school or equivalent
