Reporting to the Executive Director, the Finance Manager is responsible for managing the financial health of the organization in order to promote success and growth while maintaining legal financial practices. Duties include general bookkeeping, financial planning to determine how to pay off liabilities and grow the organization, reviewing financial documents to ensure compliance, and collaboration with other departments to achieve monetary goals.
ESSENTIAL JOB FUNCTIONS: Assist processing general ledger transactions as directed and reconciling the following ledgers as required: accounts payable, accounts receivable, payroll, fixed assets, prepaids and bank accounts.
Processes Accounts Payable documents including invoices, check requests, checks and vouchers to provide timely and accurate payment processing while ensuring policies and procedures are followed.
Verify and post details of business transactions; troubleshoot issues through to resolution.
Assists with maintaining accounting records.
Track Agency credit card usage and reconcile statement and ensure charges are applied to relevant programs.
Manage petty cash, agency vehicle records, and credit card sign out per policy.
Maintain bank statements for all agency accounts and complete reconciliations by the 10th business day of the following month.
Assist in month end closing.
Prepare necessary documents as directed for the annual audit.
Coordinate with program managers to optimize competitive pricing strategies with local businesses.
When requested, prepare recommendations for the Executive Director on allocation of funds or acquisitions of additional monies from alternative sources.
Maintain current payroll and benefit information in electronic HR/Payroll system in conjunction with Human Resources Department documentation.
Assist with payroll processing each period, calculate raises, health insurance cost, retirement cost and PTO time for employees.
Cross train with other staff members within the agency, as directed.
Report to managers or supervisors any issues/discrepancies with documentation, invoices, time sheets, or agency forms that conflict with agency policies and procedures or have a financial impact. Work with manager/supervisor to resolve the issue/discrepancy.
Will report on the financial statements to the Finance committee and the Board of Directors
Act as the backup to HR/Payroll Staff.
Minimum Job Qualifications:
A Bachelor’s Degree in finance, accounting, business studies or related field. Three or more years’ experience in accounting, accounts receivable, accounts payable, payroll, strong attention to detail, excellent verbal and written communication skills, highly organized and excellent work ethic; must have a strong bookkeeping background and be comfortable with using QuickBooks Accounting, Microsoft Outlook, Excel, and knowledge of accounting rules/principles, regulations, policies, and procedures.
