Position Overview:
The Office Assistant plays a vital role in the daily operations of Victory Christian Academy. This position involves providing administrative support to ensure the smooth running of the school office, assisting students, parents, and staff, and contributing to a positive school environment. The primary function is to oversee student records and their documents, and to perform additional administrative and reception tasks.
Responsibilities:
1. Greet and assist visitors, students, and parents in a friendly and professional manner.
2. Answer phone calls, take messages, and direct calls to appropriate personnel.
3. Manage incoming and outgoing mail and packages.
Administrative Duties:
1. Assist with daily office operations, including filing, data entry, and maintaining records.
a. Knowledge of The Milwaukee Choice Program is a plus.
2. Prepare and organize documents, reports, and correspondence as needed.
3. Assist in maintaining the school supplies inventory and ordering materials.
Student Assistance:
1. Help students with inquiries and provide information regarding school policies and procedures.
2. Support students in navigating administrative processes such as enrollment and attendance, report cards, immunization, and standardization.
3. Serve as a liaison to the local health department for all immunization-related concerns.
Communication:
1. Collaborate with teachers, staff, and administration to facilitate effective communication.
2. Assist in the preparation of newsletters and communications.
Event Coordination:
1. Support the planning and execution of school events, meetings, and activities.
2. Assist in scheduling appointments and maintaining calendars for school administration.
Confidentiality and Compliance:
1. Maintain students' and staff information confidentiality following school policies and regulations.
2. Ensure compliance with school policies and procedures.
Qualifications:
1. High School diploma or equivalent; additional education or certification in office administration or a related field is a plus.
2. Bilingual is preferred.
3. Previous experience in an office environment, preferably in a school or educational setting.
4. Strong organizational skills and attention to detail.
5. Excellent verbal and written communication skills.
6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with office equipment (copiers, fax machines).
7. Ability to work collaboratively and maintain a positive attitude in a fast-paced environment.
8. Strong interpersonal skills and a commitment to supporting students' families.
Physical Requirements:
