Job Summary
We are seeking a detail-oriented and friendly Dental Receptionist to join our dental practice. The ideal candidate will be the first point of contact for our patients, providing exceptional customer service while managing the administrative tasks necessary for the smooth operation of the office. This role requires a strong understanding of dental terminology and scheduling, as well as proficiency in various office software.

To succeed on the job, the receptionist must endeavor to keep patient information confidential and handle them with discreteness to ensure that they don’t fall into the hands of unauthorized persons. He/she must demonstrate a high level of courtesy and human relations skills when communicating with patients and visitors to the clinic so as not to give them a negative impression about the clinic, which could affect its business.

This position is full time working 4 days a week.. Normal business hours are Monday-Friday from 8:00AM-5:00PM with an hour lunch break 12-1. The dental receptionist will be working from 7:15AM-12:00PM and 1:00PM-5:00PM, Tuesday through Friday, or until the last patient leaves.

Responsibilities

  • Greet patients warmly and assist them with check-in and check-out procedures.
  • Schedule appointments and manage the dental calendar efficiently.
  • Maintain accurate patient records and files, ensuring confidentiality and compliance with regulations.
  • Handle phone calls, emails, and other correspondence in a professional manner.
  • Process patient payments accurately.
  • Utilize dental scheduling software to coordinate appointments effectively.
  • Assist with administrative tasks such as filing, data entry, and maintaining office supplies.
  • Collaborate with dental staff to ensure seamless patient care and communication.
  • Scan all treatment plans and forms for patients
  • Notify clinical staff of schedule changes and patient arrivals
  • Check patients in and update all information in patient chart
  • “Quarterback” the schedule, seating patients, updating medical history and moving appointments around the schedule to maximize schedule
  • Verify patients insurance coverage on emergency basis only
  • Call and handle no show or reschedule patients
  • Open office each morning and start up computers
  • Check patients out and collect balances
  • Fill out any deposit forms needed
  • Help with daily cleaning tasks of office
  • Verify all clinical notes
  • Confirm next day appointments by phone and text
  • Send off pre-auths and following up on them

Skills

  • Proficient in dental terminology relevant to dental practices.
  • Experience working in a dental or medical office environment is preferred.
  • Strong 10 key typing skills for efficient data entry.
  • Bilingual abilities are highly desirable to assist diverse patient populations.
  • Excellent organizational skills with attention to detail in managing files and records.
  • Strong communication skills, both verbal and written, to interact effectively with patients and staff.
  • Ability to multitask in a fast-paced environment while maintaining professionalism.
