Job Summary:
The Marketing Support Specialist plays an essential role in a small, collaborative team within an organization dedicated to marketing the community to attract visitors and positioning Vigo County as a premier sports, visitor, and event destination. This position requires a proactive and organized individual who excels in a flexible environment and is comfortable taking on diverse responsibilities. Key duties include supporting marketing efforts, coordinating events, managing community calendar/database, managing promotional initiatives/sales, and providing administrative support to advance the organization’s mission.
Key Responsibilities
- Manage and maintain the organization's CRM (Simpleview database) system to ensure accurate and up-to-date data for communications and the website.
- Ensure CRM and CMS (Simpleview content management system) photos are accurately tagged and optimized for SEO to enhance search engine visibility and improve content discoverability.
- Assist with content creation, including photo organization, for social media/blog posts and digital campaigns that promote local attractions, events, and sports.
- Manage data collection and prepare reports from hospitality data analytic platforms like AirDNA, the STAR Report, and others to support performance tracking and inform marketing strategies.
- Collaborate with the marketing team to help create content and develop materials such as brochures, fliers, and newsletters, for ongoing communication efforts.
- Manage promotional initiatives/sales items for visitor’s center and hotels that highlight Vigo County’s attractions and sports facilities.
Community Calendar Oversight
- Review and approve community calendar event submissions to ensure alignment with the organization’s mission and standards. Communicate with community members to gather complete and accurate event details for promotion.
- Maintain a current, engaging, and comprehensive community calendar as part of the See You In Terre Haute brand, showcasing Vigo County events.
Event Coordination
- Assist with logistics for THCVB sponsored events including conferences, tournaments, community events, and the LaVern Gibson Cross Country Course which may include working with vendors, scheduling, and on-site support during the day of the event.
- Help with documentation and preparation for bids and hosting sporting events and community gatherings.
- Manage and update the THCVB event calendar to ensure timely and accurate communication with stakeholders and visitors.
Administrative Assistance
- Provide administrative support to the Executive Director, including scheduling, correspondence, and document preparation.
- Assist with financial documentation, such as invoices and expense tracking.
- Perform general office duties, including answering phones and maintaining supplies.
Typical Qualifications
- Strong organizational and multitasking abilities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in CRM/database systems (specific training will be provided for THCVB’s Simpleview database system), Microsoft Office Suite, and social media platforms.
- Familiarity with graphic design tools (e.g., Canva) is a plus.
- Proactive and detail-oriented mindset with strong problem-solving skills.
- Ability to work collaboratively within a small team and independently when needed.
- Bachelor’s degree in marketing, communications, business administration, or a related field, or equivalent experience. Prior experience in marketing, event coordination, or administrative support is preferred.
- Some THCVB events will require weekends or evenings.
