SALARY RANGE: $58,958 - $73,698

Position Summary

This position supports our VP, Fabrication as well as routinely supporting traveling executives including company CEO. Presents a positive organizational presence to our customers, government officials/staff, community partners and employees. Vigor operates in a flexible, fast-paced and values-oriented environment. The successful individual will be a positive contributor and to provide service to others through a wide variety of administrative and project work that supports our growing organization.

Essential Functions And Major Responsibilities

  • Provides project and administrative support to VP, Fabrication as well as visiting executives (CEO, CFO, EVP of HR, etc.)
  • Researches and evaluates solutions to a wide variety of business needs, including legislative and public policy issues
  • Generates agendas, PowerPoint decks, and documentation and facilitates meetings for executive staff
  • Organizes calendars and schedules and manages all facets of travel arrangements
  • Plans, organizes and executes a wide range of company meetings, events, and tours
  • Prepares presentations and spreadsheets and reviews and responds to correspondence
  • Manages budget, expense reporting and approvals, and examines monthly costs.
  • Gatekeeper for executive office and incoming calls from reporters, officials, customers, etc.
  • Ability to recognize opportunities to conserve executives' time by addressing matters with alternative solutions - using other resources or resolving matters independently.
  • Maintains executive office by organizing office operations, equipment and supplies, including the inventory and ordering of company logo items. Ensures needed details are in place for day-to- day office functions to run smoothly.
  • Assists with employee activities or other promotional needs, which may include development of brochures and ordering special T-shirts, hats, lunches, etc.
  • Assists as necessary to support the general business as projects arise

JOB SCOPE

This job is performed with considerable flexibility for initiating improvements and exercising independent decision-making within the assigned work area. The position is expected to adhere to established procedures as may be required when handling cross-functional activities, such as processing accounting documents. Independent judgment is used in scheduling and accomplishing work, handling conflicts and analyzing alternatives and maintaining recordkeeping systems. The work is performed with limited supervision and necessitates the coordination of priorities and schedules of a number of other administrative employees. The individual should have a professional and courteous demeanor.

SUPERVISORY RESPONSIBILITY: None.

The position is expected to interact with employees at all levels throughout the company as well as with customers, the public, and others encountered in the course of work.

Knowledge Skills And Abilities

  • Excellent interpersonal and communication skills, both oral and written for constant interaction with all departments and employee levels and outside customers and other stakeholders. Attention to detail/conventions in written communications is essential.
  • Ability to work with confidential information and to apply maturity and discretion to daily operational role
  • Efficient and organized with great attention to detail and follow-through
  • Highly proficient with Microsoft Office, primarily Word, PowerPoint and Excel. Ability to adapt to and learn new programs utilized within the company
  • Comfortable working on both high level and low-level assignments as necessary
  • Good intuition and the ability to read people and respond to situations correctly
  • Direct communication style and willingness to provide feedback to executives/others on their impact
  • High sense of self-awareness and ability to accept feedback and guidance from multiple sources

Education And/Or Experience

  • High School Diploma or GED Certificate is required.
  • Associate's Degree in business or other field related to the assigned department is preferred. Completion of specialized administrative training at a community college or trade school.
  • Minimum five (5) years of experience in providing senior/executive support work and demonstrated knowledge of office procedures and practices is required.
  • Combinations of experience and training that would provide the knowledge and skills required will be considered.

CERTIFICATES, LICENSES AND REGISTRATIONS: Notary Public preferred.

PHYSICAL DEMANDS

Work is conducted in a dynamic, fast-paced office setting with moderate to loud noise levels from production activity in the shipyard. The individual may be required to be in production areas in yard and onboard ships. The role must be able to walk to and from job sites. Work involves walking, talking, hearing, using hands to handle, feel or operate objects, tools or controls and reaching with hands and arms. Vision abilities required by this job include close vision and the ability to adjust focus. The employee may be required to push, pull, lift and/or carry boxes or containers that weigh up to 20 pounds. He/she may be required to work more than 8-hour shifts and weekend work. Local and out-of-town travel (including air travel) may be required up to 5% of the time with notice. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

WORK ENVIRONMENT

While in production areas, will be exposed to all weather conditions, noise, dusts and odors. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

CITIZENSHIP: Pursuant to a government contract, this specific position requires US citizenship.
