JOB SUMMARY

This position performs independently under the general direction of the Recreation Facilities Manager (RFM), Recreation Area Manager (RAM), or Recreation Manager assigned to their designated area. This position provides daily oversight and supervision in the assigned area. They must be accessible to ensure optimum customer experience in all interactions. Provide a friendly, welcoming atmosphere that encourages residents and guests to participate in recreation activities and promotes a safe, hospitable recreation environment. Builds a working rapport with clubs, staff, and event contacts to Ensure Recreation and Parks Department and District policies conformance by following the required protocols and procedures.


ESSENTIAL DUTIES AND RESPONSIBILITIES (May Include, but not limited to)

General

  • Assists in answering telephone calls related to assigned facility/area.
  • Keeps current with District and Department policies and changes/updates to ensure the ability to abide by and enforce them as they relate to daily duties and responsibilities.
  • Travels to other Recreation locations at the Department’s request due to business needs.
  • Performs duties after hours and on weekends; may be required to work on-call, Global Events, Enrichment Academy Events, as assigned by the manager, etc.
  • Create, track, and update department surveys as needed.
  • Ability to handle conflicts and complaints and to work towards a successful resolution with residents, customers, and staff.
  • Routinely review websites for accuracy.
  • Be proficient in the use of department software.
  • Be familiar with all department guidelines, including RLVG and Facility.
  • Be knowledgeable of all aspects of facilities, including opening, operations, and closing procedures.
  • Assist in the required setup, breakdown, and inspection of facilities within the timeframe necessary to meet specific event requirements.
  • Interacts and coordinates cooperatively with the Maintenance, Special Events, and Entertainment departments, the media, The Enrichment Academy, and resident lifestyle volunteer groups to ensure policies are practiced consistently with all aspect of events and programming.


Resident Lifestyle Volunteer Groups

  • Accepts requests for all new RLVGs, research needs, and facility availability and creates permits if approved.
  • Interact with existing resident volunteers on contract renewals and guidelines, educating and informing groups to ensure policies and best practices are consistently followed in all activities.
  • Designs and prepares computerized room layouts for scheduled events and club meetings, interacting with event representatives to ensure their satisfaction.
  • Instructs verbally and through demonstrations individuals and /or groups in lessons and rules and regulations of sports activities as needed.


Events/Activities

  • Plans, implements and evaluates recreational programs and resident activities within budget, including, but not limited to, global events, recreation socials, expos, and other special events.
  • Instructs individuals and/or groups in lessons and the rules and regulations of sports activities, as needed, verbally and through demonstrations.
  • Registers residents and guests in Recreation Software for lifestyle events/socials.
  • Creates and executes surveys as needed for various events.


The Enrichment Academy

  • Assists customers in all aspects of the program, including registration, refunds, questions, walk-in requests, phone calls, online registration assistance, website information, and waitlist monitoring.
  • Provide assistance and direction to all instructors/speakers, including accessing their online portal, setting up curriculum events, updating contact information, guidelines, and expectations.
  • Assist with organizing and overseeing Expos and special events.
  • Assists in the catalog, publication review, and proofreading.


Facility Rental

  • Assist with all aspects of facility reservations for various customers, including residents and non-residents.


Sports

  • Facilitate all aspects of recreation leagues and other sporting events; including but not limited to setup, sign ups, activity counts, non-compliance, schedules, communication, and participation.
  • Must have an understanding of running a tournament. Tournament types may include round-robin, single-elimination, double-elimination, or any other format. Tournament-specific duties may include setting up the registration, monitoring registration, roster management, purchasing all supplies/awards needed, creating brackets/schedules, filling out brackets/recording the results during the event, and conducting a post-tournament review, among any other tasks necessary to run a successful event
  • Must be proficient in the use of all athletic equipment.


Guest ID’s

  • Follows the required ID protocol for residents and/or guests by checking and recording all resident IDs and guest passes upon their entrance to facility and at scheduled events using scanner and/or manual count methods.


Incident Reporting

  • Follows District incident reporting protocols for all incidents related to self, residents, and/or guests, including but not limited to health, safety, lost items, and/or facility conditions by reporting same immediately to the Recreation Manager at the time of such incident, or no later than the end of an assigned shift.


Finance

  • Abides by cash handling procedures for assigned areas, including but not limited to cash collections, issuing of refunds, maintaining reports, change funds, security deposits, and activity registrations.
  • Assists staff in all aspects of cash handling.


Recordkeeping

  • Maintains recordkeeping/data entry, manually or via computer, as directed and within designated timeframes. This may include but is not limited to the club contact list, course listing, booking permits, attendance data, social fact sheets, budget sheets, and event setups.
  • Performs monthly maintenance checks on facilities as assigned.
  • Maintains inventory and orders equipment and supplies weekly, monthly, and yearly.
  • Monitors and processes all requested forms to the appropriate party on time.
  • Processes all receipts/expenditures and credit card transactions weekly.


Supervisory

  • Supervises staff and volunteers in assigned areas.
  • Create staff schedule bases on needs in assigned areas
  • Review/approve timecards to verify accuracy.
  • Performs yearly performance evaluations of staff.
  • Conducts staff training in assigned areas, including but not limited to computers and District policies and procedures.
  • Knowledge of all positions under your purview; assist staff with all daily tasks, questions, and concerns.
  • Conduct routine staff meetings with staff in assigned areas.


Equipment

  • Maintain inventory, routine maintenance, and safety inspections of recreation facilities and equipment.
  • Complies with District Fleet Management Policy.
  • Demonstrates proficiency in using all recreation equipment including, but not limited to, sports equipment, lighting and sound equipment, LED projectors, A/C regulators, scoreboards, etc.
  • Assists in minor repairs and equipment maintenance as directed within the designated timeframe.
  • Office equipment, including but not limited to telephones, personal computers, and productivity software.


Additional

  • Performs other duties as assigned.
  • Special Projects as assigned.
  • May be expected to perform additional duties in an emergency.

MINIMUM EDUCATION AND EXPERIENCE (Includes, but not limited to)

  • Bachelor’s Degree or four years related experience and/or training, or equivalent combination of education and experience in recreation, physical education, event management.


MINIMUM CERTIFICATES, LICENSES, REGISTRATIONS

  • CPR/AED training.
  • Valid Florida Driver’s License required.
  • All candidates and employees must successfully pass background screening.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES (Includes, but not limited to)

Knowledge

  • Demonstrates knowledge of all recreation centers clubs, leagues and recreational activities, lifestyle/special events and be present and accessible to ensure optimal customer service.
  • Ability to add, subtract, multiply and divide in all units or measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio, percentage, and to draw and interpret bar graphs.

Skills

  • Must be proficient in personal computer skills including electronic mail, recordkeeping, routine data base activity, word processing, spreadsheets, graphics, etc.
  • Excellent written and verbal communication skills, as well as a professional appearance and demeanor.
  • Strong work ethic and commitment to providing optimal customer service.
  • Well organized and able to successfully prioritize responsibilities in a fast-paced environment to meet multiple demanding deadlines.

Abilities

  • Ability to handle conflict and complaints to resolve and work towards a successful resolution with residents and staff.
  • Ability to supervise, manages, and directs the selection, training, development, and appraisal of personnel.
  • Ability to work after hours and weekends when needed.
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or government regulations.
  • Ability to write reports and business correspondence, and ability to effectively present information and respond to questions from groups of managers, customers, and the public.
  • Ability to work morning, evening and weekends to meet timelines and attend meetings.
