Position Description: The Village of Bald Head Island Chapel seeks individual for Office Manager position to assist the Board of Trustees with the design, implementation, evaluation and maintenance of the process of work taking place in its office and to improve the organization’s efficiency and productivity.
Hours/Schedule: The position will initially be part-time at approximately 30 hours each week. The schedule of days can be flexible.
Job Duties:
Oversees general office operations, giving reports to the Chapel’s Officers and/or Board of Trustees;
Coordinates schedules and manages the Chapel’s calendar of events, assisting in coordination of Committee(s) participation/efforts if necessary;
Assists Special Events Chairperson in planning Chapel or off-site activities if needed;
Manages Chapel’s IT infrastructure, scheduling/working with current independent contractors as necessary;
Manages payments/revenue, financial reporting, budgeting and tax filing under the guidance and direction of the Treasurer and other officers/trustees on the finance and investment committees;
Oversees staff interactions and responds to their queries on day-to-day office management issues;
Monitors office management and designs innovative work systems as necessary;
Works with Board and Committee Chairpersons to maintain and update office policies and procedures as necessary;
Oversees Chapel’s Insurance programs, corresponding with companies, agents/brokers and Trustee assigned to insurance oversight as necessary;
Oversees Chapel Asset Inventory, including recording keeping of asset purchases, their location, applicable warranties, necessary repairs, etc.;
Preparation of (with the assistance of Officers/Trustees) the Chapel’s quarterly Newsletter and Annual Report;
Preparation for (with the assistance of the President of the Board) the Chapel’s Annual Meeting and quarterly Board meetings;
Assists Committee Chairs with corresponding duties as necessary in the areas of: exploring fundraising opportunities; recruitment of volunteers;
Assist Board of Trustees in the execution of new initiatives and/or activities to further the chapel mission and vision;
Assist Chaplain as necessary;
Qualifications and Skills:
The candidate should be motivated and able to work independently. The candidate should possess good people, communication and writing skills.
Required Qualifications:
Bachelor’s /Associate degree in business administration, communications or any related field;
Two to four years of previous experience as an administrative or office manager
Necessary Skills:
Organizational and time-management skills;
Analytical abilities;
Exceptional attention to detail;
Solid computer skills, with an aptitude to learn new systems and procedures;
Hands-on experience with various office machines and equipment.
Preferred Skills:
Experience developing internal systems
