Utility Billing Coordinator
Job Description
The Utility Billing Coordinator is responsible for overseeing all utility billing and meter monitoring functions, as well as playing a key customer service role including dealing with difficult customer inquiries, problem solving and front office reception area with multi-line phone. The ideal candidate would be highly competent with Microsoft Office suite applications, with the ability to master various software. Duties are performed under the direction of the Village Administrator. Coordinates closely with Water and Sewer departments in the execution of duties. Heavy emphasis on attention to detail, punctuality, reliability, and organization.
Responsibilities and Duties include but not limited to:
· Open/close building and front office
· Processes new or cancelled accounts, meter changes, updates to accounts
· Prepares monthly utility bills and other related bills and notices including final bills, shut off letters, 24-hour shut off warning notices and utility shut offs. Serves as key liaison with billing company to ensure that billing is accurate and processed expeditiously.
· Bill collection procedures: works with customers, title companies and realtors to ensure payment of bills, assesses outstanding bills to Auditor as needed
· Researches, interprets, and analyzes account history to resolve billing questions on meter readings.
· Handles customer questions and/or complaints in efficient and friendly manner.
· Daily review of leak reports, courtesy calls to customers to inform of possible leaks and to update information
· Records Retention Compliance per Ohio Revised Code.
· Prepares various reports as necessary
· Pretreatment accounts reports, updates, collections and modifications
· Payment processing, deposits, reconciliations and reports
· Greets all incoming customers, vendors and appointments and provides direction accordingly
· General office procedures including multi-line phones, fax, email, copier, filing, Microsoft computer programs and billing software programs.
· Must be able to work under pressure and/or stress related situations
· Daily mail sorting and distribution, supplies orders
· Other duties as assigned
Qualifications include but are not limited to at least three years of clerical experience and basic knowledge of billing procedures. High school diploma or equivalent required. Qualified applicants must pass a background check and drug screen. The candidate must be able to be bonded by the Village. Ideal candidates will possess the ability to communicate professionally and effectively with elected officials, employees and general public.
