- Performs advanced professional and administrative work including, but not limited to, composing, and typing letters, memoranda, general orders, rules, and standard operating procedures and maintaining department records.
- Performs organizational and procedural studies as directed by the Village Manager, initiates special research in needed areas.
- Compiles, develops and analyzes reports and studies as directed by the Village Manager and Assistant Village Manager.
- Handles escalated customer/citizen complaints, both in person and over the telephone. Follows-up with affected individual(s) to ensure resolution and closure.
- Manages and coordinates the scheduling of the Village Manager’s, Mayor and Councilmembers Outlook calendar.
- Supervises custodial staff, assigns work schedule and task assignment. Evaluates work performance.
- Assists the communications division by developing, curating and posting engaging content for social media platforms.
- Coordinates travel arrangements for the Village Manager and Assistant Village Manager.
- Attends committee, county and state meetings on behalf of the Village as directed by the Village Manager.
- Answers, screens and directs calls for the Mayor, Village Manager and Assistant Village Manager. Provides backup receptionist duties when necessary.
- Manages the inventory and purchase of office, housekeeping and kitchen supplies ensuring adequate supplies are maintained, stored and distributed.
- Answers routine correspondence and composes letters for the Village Manager and Assistant Village Manager’s signature.
- Opens, sorts and routes Village correspondence to appropriate departments.
- Performs other related duties as assigned.
Education and Experience:
Bachelor’s degree from an accredited college in a related field such as public administration or business administration and three (3) years of experience in the performance of general administrative and clerical work, or equivalent combination of education and experience. Prior experience in government/municipal management work is highly desirable.
Additional Qualifications:
- Must be computer literate and proficient in Microsoft Office programs including Word and Excel and Outlook.
- Must have considerable knowledge of modern office practices and procedures.
- Must maintain high ethical, honesty and moral standards.
- Must be prepared and available to work during a hurricane in the Village’s EOC.
- Must be fluent in the English language. Ability to communicate in Spanish is a plus.
- Must be a non-smoker.
- Applicants must complete all requirements established by the Village of Pinecrest for employment. This may include, but not limited to, a written examination, typing test, psychological screening to determine suitability for position, polygraph examination, comprehensive background investigation, and a job-related medical examination including a drug/alcohol screening test.
- The minimum qualifications may be waived by the Village Manager.
