Position Description:
Village Shalom is launching a campaign to raise $6 million, and we are seeking an organized, detail-oriented Administrative Support professional to help with the campaign's operations. This role will provide essential administrative assistance, including handling pledge forms, donor correspondence, event logistics, and more. The Admin Support professional will ensure that the campaign runs smoothly, contributing directly to our fundraising success.
Qualifications:
Required Qualifications
1) Associate or Bachelor’s degree in related field.
2) Minimum of 2 years of administrative experience, preferably in fundraising or nonprofit environments
3) Must have donor database experience, Raiser’s Edge strongly preferred
4) Excellent writing and editing skills and strong verbal communication.
5) Must be highly proficient with MS Office (Word, Excel, Access and PowerPoint) and have experience with mail merge processes.
6) Experience which demonstrates strong organizational skills and attention to detail.
7) Experience handling multiple tasks simultaneously, prioritizing and staying organized to ensure timely and accurate work.
8) Ability and commitment to maintain donor confidentiality
Preferred Qualifications
9) Familiarity with the Jewish community is a plus
10) Experience working for nonprofit organizations

Key Responsibilities
- Campaign Coordination: Provide logistical support for campaign meetings, events, and donor engagements. Assist in coordinating schedules, preparing materials, and organizing the campaign calendar
- Donor Relations Support: Maintain accurate donor records, manage communications, and assist with donor stewardship, including thank-you letters and pledge reminders
- Pledge Form Management: Assist with the preparation, distribution, and tracking of pledge forms. Ensure all pledged amounts are accurately recorded and follow up with donors as needed to ensure timely fulfillment of pledges
- Database Management: Enter and update donor information into the donor management system, ensuring all pledge and donation records are current and accurately documented
- Event Support: Assist with event coordination, including invitations, RSVP tracking, event materials, and follow-up communications post-event
- Reporting and Documentation: Compile and prepare reports related to pledge progress, donor activity, and event outcomes for the campaign team and key stakeholders
- Communication: Draft and proofread written materials, including donor correspondence, emails, newsletters, and updates regarding the campaign
- Administrative Support: Provide general administrative support to the campaign team, such as scheduling, meeting coordination, preparing presentations, and other duties as assigned
