Milling Administrative Assistant
Villager Construction, Inc. is looking for a Milling Administrative Assistant to support the Milling Administrative Manager with the following list of duties, including, but not limited to:
Certified Payroll Reports:
o Manual entry of Certified Payroll reports into web-based software programs for NY & Southern projects
o Prepare/deliver all certified payrolls to all customers
o Prepare/enter/deliver all monthly/quarterly utilization payroll reports
o Acknowledge all payment receipts in EBO
Lien Waivers/Final Lien Releases:
o Review/return all lien releases for payment
o File all documents in project folders
New Customer Documentation:
o Send new customer forms to all potential new customers for NY/South
o Prepare and deliver all credit trade reference forms
o Send all new customer forms and references to controller for approval
o Setup new customers in Sage Timberline
Assistance with Business License Renewals:
o Assist with reports/manual check requests for renewal and/or new state/town/county business licenses in NY & Southern regions
o File all active business licenses
Train as a back-up to Milling Administrative Manager for the following:
o Weekly NY/South Milling payroll review for all milling field staff
o Subcontract review and execution
Administrative Duties:
o Prepare all NY/South tickets weekly for approval by estimator
o Weekly and monthly invoicing for NY/South projects
o Build contracts in Sage Timberline
o Job setup in Sage Timberline and B2W (Day Rate projects)
o Responsible for various job management reports
AR/AP:
o Review AR collections weekly (Day Rate projects)
o Request payment status and proper notation in Sage Timberline
o Assist with AR discrepancies
o Weekly review of hotel engine invoices for payment
Various Tasks:
o Order office supplies
o Assist with preparation of HR paperwork for new hires
o Assist with coordinating events for Southern region
o Weekly office cleaning (Friday)
Basic Qualifications
o Experience in the construction industry
o Software: Adobe Acrobat, Word, Outlook, Sage Timberline, Timberscan, Equity Business Opportunity (EBO) and LCP Tracker/B2G (Preferred), B2W software
o Organization is a must
o Strong written and oral communication skills
o Willingness to adjust to ever changing role
o Regular attendance required
