About Vine Maple Place (VMP)
VMP, established in 2000 as a 501c3 nonprofit working with single parents and their children to break the generational cycle of homelessness. Serving families who are homeless or facing eviction, our commitment is to end homelessness in South King County. Over the past 12 years, our signature Stable Families program has grown, serving from 68 parents and children to nearly 4,500 individuals annually. Our programs focus on preventing homelessness or assisting families off the streets to become safe, stable, and equipped with new skills to permanently leave homelessness. Families achieve great success, becoming safe, stable, and self-sufficient; 95% are stably housed upon exiting the program, with 91% maintaining their housing a year later. Our evidence-based, client-centered services are delivered at two Family Hope Centers. As a community and faith-based organization, we rely on the thousands of volunteer hours and donations that make our work possible. Due to the homelessness crisis in King County, VMP is expanding to serve more families in need.
Job Summary
The Front Desk & Facilities Coordinator is the first point of contact for anyone entering the building, providing excellent customer service while ensuring smooth front desk operations. This includes checking in clients and volunteers, receiving donations and deliveries, and supporting building security. The role also coordinates building operations by monitoring for maintenance issues, submitting work orders, and responding to facility concerns. Additionally, the coordinator provides basic IT support, troubleshooting common technology issues and coordinating with vendors or IT staff as needed. The ideal candidate is organized, detail-oriented, and able to handle multiple priorities while maintaining a welcoming and professional environment.
Responsibilities
Front Desk - Program
- Welcome and check in clients, volunteers, donations, deliveries and other visitors.
- Request and verify identification as needed against participant lists.
- Receive and process donations, (monetary, gift cards and in-kind) ensuring proper tracking.
- Provide admin support to Intake and other Departments.
- Accept and manage deliveries, notifying appropriate staff.
- Oversee volunteer team assisting with front desk operations.
Facilities Coordination
- Perform regular building walkthroughs to check doors, monitor alarms, and ensure safety, cleanliness, and operational efficiency.
- Oversee facility access, including key card distribution and access troubleshooting.
- Manage supply inventory, including custodial and program-related orders.
- Coordinate with facilities staff for routine maintenance and response to issues (e.g. fire system checks, HVAC, plumbing, electrical, appliances) by submitting work orders as needed.
- Work with property management to address external maintenance concerns (e.g., cleanliness, outdoor safety).
- Respond to escalated situations by notifying the PIC (Person in Charge) and calling 911 or emergency services when necessary.
IT Support
- Act as the first point of contact for basic IT troubleshooting, including computers, printers, internet, and phone systems.
- Coordinate with internal IT staff or external vendors for more complex issues.
- Ensure phone systems are functioning properly and report any issues.
Qualifications
Minimum Qualifications
- Have a personal relationship with Jesus Christ and agree to the VMP Statement of Faith.
- Be passionate about helping families overcome the trauma of homelessness.
- Embrace diversity and work effectively with a diverse team of professionals; sensitivity to the needs of clients, staff and volunteers from diverse cultural and economic backgrounds.
- 2 years of experience in administrative, facilities coordination, or security-related roles.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Experience supervising volunteers or small teams.
- Basic technology troubleshooting skills, including computers, internet and printers.
- Professional and compassionate communication skills when interacting with clients, staff, and external vendors.
- Strong problem-solving skills and the capacity to act decisively in emergency situations.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn electronic client databases.
Required Credentials
- Must pass and maintain an acceptable background check.
