Bookkeeper / Office Manager - Small RetailVino!-WineShop is seeking a skilled and detail-oriented Bookkeeper / Office Manager to join our dynamic team. This dual-role position combines the responsibilities of managing financial operations, plus supporting the smooth day-to-day running of our business. You will work closely with our team to ensure financial accuracy and help coordinate events, manage vendors, and provide exceptional service to our customers. Bookkeeper Responsibilities:
- Financial Transactions: Accurately record daily financial transactions and ensure proper documentation.
- Payroll: Process payroll on time, ensuring all employees are paid correctly.
- Cash Flow Monitoring: Track and analyze cash flow, prepare financial reports, and provide insights to management.
- Compliance: Ensure compliance with federal, state, and local tax regulations and advise management on any necessary actions.
- Trial Balances: Prepare trial balances for review by accountants and assist with closing books at month-end or year-end.
Qualifications & Skills for Bookkeeper Role:
- Communication: Strong written and verbal communication skills.
- Experience: Proven experience in bookkeeping with proficiency in QuickBooks.
- Education: Prefer an Associate's or Bachelor's degree in accounting, finance, or a related field.
- Industry Knowledge: Understanding of accounting best practices and industry benchmarks.
- Attention to Detail: Strong attention to detail, ensuring accuracy and completeness in financial records.
- Microsoft Excel: High level of expertise in Microsoft Excel or similar spreadsheet software.
- Confidentiality: Ability to handle sensitive financial information with discretion.
Office Manager Duties and Responsibilities:
- Administrative Support: Organize files, prepare reports and correspondence, and manage day-to-day office tasks.
- Coordination & Scheduling: Partner with other staff to schedule and coordinate Vino!’s wine dinners, tastings, and special events.
- Vendor & Customer Liaison: Act as a liaison with wine distributors, vendors, customers, and wineries, ensuring smooth communication.
- Supply Management: Maintain office supplies, keep inventory stocked, and assist with shopping for regular supplies.
- Facility Management: Communicate with our landlord and contractors to ensure timely repairs and upgrades to our space.
Qualifications & Skills for Office Manager Role:
- Organizational Skills: Exceptional organizational and multitasking abilities.
- Communication: Strong written and verbal communication skills to interact with staff, customers, and vendors.
- Some Wine Knowledge Preferred: A curiosity about wine and the ability to learn and share information with customers.
Additional Responsibilities:
- Marketing & Promotions: Creating weekly emails to inform customers of upcoming events and tastings.
- Education on-the-job: Learning about industry trends, wine regions, and emerging producers.
- Customer Interaction: Occasionally filling in on the sales floor, cash register skills required, helping customers with recommended products, and occasionally assisting in wine tastings and educational events..
