Night auditors are responsible for keeping hotel operations running overnight, overseeing the establishment's transition from one day to the next, and usually acting as the responsible staff member during those hours. They also take on accounting responsibilities and handle guest requests.

RESPONSIBILITIES
The night auditor's responsibilities encompass a range of tasks that bridge the gap between the previous day's operations and the preparations for the next.
  • Handling guest requests that may arise during the night demonstrates the hotel's commitment to delivering exceptional service during unconventional hours.
  • Incident Management and De-escalation—Proficiency with company incident management procedures and de-escalation techniques to manage and diffuse a high-stress situation.
  • Conducts the night audit, which involves reconciling guest accounts, verifying room rates, and promptly identifying and addressing discrepancies.
  • Recording charges, payments, and any additional services guests use during their stay is essential for creating and maintaining accurate guest folios.
  • Maintaining accurate financial records, auditing all transactions, including credit card payments, and appropriately recording and balancing. Submitting paperwork timely to the VIP Office.
  • Updating the status of rooms for both operational and security reasons.
  • Investigating and resolving discrepancies in-room charges, payments, or reservations, contributing to accurate accounting records.
  • The night auditor's role includes closing the day's financial activities and preparing the system for the next day's operations.
  • Conduct regular security rounds to ensure the safety of the premises, both for guests and hotel staff. This involves access points, monitoring CCTV security cameras, and promptly addressing security concerns.
  • The property management system (PMS) and other sophisticated technologies help manage the premises.
  • Maintains a clean and organized work area and lobby.
  • First responder for incidents that occur throughout the night. Including medical emergencies, security breaches, or other unforeseen events. Must be able to assess situations and take appropriate action for guest safety and overall hotel security.
  • Guest Incident—Unfortunately, situations with violent guests or homelessness can arise. Night auditors should handle these scenarios calmly and effectively. This might involve diffusing tense situations, contacting the police department, and following established protocols to ensure the safety of all involved parties.
  • Night auditors should be trained to comply with safety and security procedures and precautions following hotel standards.
  • Troubleshoot issues that occur with IT systems, Internet, or Software. While a night auditor doesn't need IT experience, they may be required to have a technical aptitude to resolve concerns.
  • Other duties as assigned.
MULTI-LOCATION RESPONSIBILITIES
The Inn at Nye Beach Night Auditor has an additional location and responsibilities for The Hotel Sylvia and the primary location. This will include:
  • Handling guest inquiries over the phone, providing the best possible service while guiding the guest to possible resolution, available resources, or escalating the issue as required.
  • Understanding of the PMS System for the secondary hotel and may be asked to provide night audit responsibilities remotely, including but not limited to end-of-day operations, handling of discrepancies, and the night audit process.
  • Regular security checks using CCTV cameras ensure the hotel and guests are safe and secure. Act as first responders to incidents or emergencies as they occur.
  • Contact the maintenance or management team for emergent issues that must be resolved promptly and efficiently.
QUALIFICATIONS AND EXPERIENCE
The multifaceted role of a night auditor demands a diverse skill set that blends technical and interpersonal abilities.
  • High school diploma or general education degree (GED); one to three months related experience and training; or equivalent combination of education and experience.
  • Attention to detail – Meticulously scrutinizing financial records, occupancy data, and guest accounts is essential to ensuring accuracy. —To ensure accuracy, it must be meticulously scrutinized
  • Initiative – Individuals need to discern what needs to be done with limited interaction from management or the team.
  • Bookkeeping proficiency—The foundation of bookkeeping necessary for this role is a solid foundation of basic mathematical skills, administrative organization, and time management.
  • Customer service – Responding to late-night guest requests or concerns requires effective communication and a commitment to exceptional customer service.
  • Analytical thinking—Detecting and rectifying discrepancies, incident response, and guest de-escalation require the individual to identify the source of the issue and implement a solution. : responding to incidents and de-escalating guests
  • Technical aptitude – Proficiency in computer systems and software. The individual may be asked to troubleshoot a technical problem without support.
  • Problem-solving – Quick thinking and adaptability are essential for addressing unexpected challenges during the night shift.
  • Team collaboration—Night auditors collaborate with the day shift and various hotel departments, using strong communication skills to ensure seamless transitions.
  • Ability to interpret documents such as safety rules, operating and maintenance instructions, or procedural manuals.
PHYSICAL REQUIREMENTS
This role requires that the employee stand for six to eight hours, use fine dexterity, use hands, control computer systems, and use all physical senses. Vision and depth perception are required for the security component.

This employee must occasionally lift and move up to 50 lbs. Must be able to stoop, kneel, crouch, crawl.
