Position Summary:
This position provides comprehensive administrative coordination and support for the medical education curriculum, ensuring seamless course delivery, effective communication, and meticulous management of scheduling, logistics, assessments, and student progress throughout the curriculum. This role requires exceptional organizational skills, a student-centered approach, and the ability to clearly and effectively communicate in order to support students, staff, and faculty while enhancing the educational experience and maintaining institutional standards. This position is an integral part of the Office of Medical Education (OME) team, and will act as back up support for other tasks within the OME that support the delivery of the curriculum and promotion of a positive student experience.
Core Responsibilities:
Curriculum Administration and Coordination
- Provide administrative oversight for designated courses.
- Act as a liaison between course directors, simulation center staff, course administrators, and students to facilitate seamless course delivery.
- Manage and coordinate scheduling, logistics, and resources for longitudinal curricular sessions and activities across preclinical and clinical curricula.
- Develop and maintain the longitudinal curriculum calendar, ensuring alignment with institutional schedules and room availability.
- Oversee room scheduling, technology support, and accurate record-keeping for course schedules and content, including assessments and student progress.
- Support course preparation, including syllabus creation, posting course materials and objectives in the Learning Management System (LMS), ensuring accessibility of pre-session assignments for learners, and maintaining accurate faculty assignments for evaluation purposes
- Support the curriculum and course faculty by coordinating workshops, make-up sessions, and required equipment or space.
- Collaborate with simulation center staff to ensure workshop readiness, including managing standardized patient scheduling and equipment needs.
- Track student participation in workshops, pre-assignments, and online point-of-care ultrasound (POCUS) coursework.
- Manage open lab sessions for ultrasound practice and maintain student attendance records.
Student Support and Communication
- Communicate schedules, reminders, and educational session details with students, faculty, and clerkship coordinators, ensuring all communications are clear and timely.
- Monitor student attendance and track absence requests, identifying patterns and generating reports to ensure timely communication and resolution.
- Coordinate with appropriate team members to reschedule missed sessions, exams, assignments, or clinical time as required by policy.
Administrative Support for the Office of Medical Education
- Assist with front desk operations for the Office of Medical Education (OME), providing superior customer service to all office visitors.
- Cross-train with, and provide, daily administrative support to the OME as indicated by OME leadership
- Proctor examinations, ensuring compliance with institutional policies and procedures.
- Actively participate in programs and initiatives to support the educational mission of the institution.
- Perform other duties as assigned.
Minimum Hiring Standards:
- Bachelor’s degree or equivalent related work experience.
- Demonstrated ability to utilize web-based software including learning management systems, Google documents, Adobe Acrobat and other web-based data collection tools. Proficiency with all Microsoft Office products.
- Demonstrated exceptional written and verbal communication skills, with a proven ability to engage effectively with diverse audiences.
- Strong organizational skills with attention to detail and ability to prioritize and manage multiple tasks simultaneously.
- Ability to work both collaboratively within the OME team and independently with faculty and students.
- Demonstrated ability to resolve issues and engage in effective problem solving. Demonstrated ability to prioritize, and complete a dynamic task list is required. Must be precise, thorough, and reliable and perform daily activities with minimal supervision.
- Highly developed organization skills are required along with a confirmed ability to maintain confidentiality and pay attention to details.
- Demonstrated experience working in and fostering a diverse faculty, staff, and student environment or commitment to do so as a staff member at VCU.
Preferred Hiring Standards:
- Experience in an academic setting, preferably with student affairs, medical education, or academic program coordination.
- Familiarity with medical or higher education processes and policies
