Hiring Range : Pay Band 3 (Starting at $38,000)

Job Description :

Responsible for graduation clearance, graduation processing, and production of diplomas. Reviews student academic records for graduation requirements. Coordinates with academic departments, students, and faculty to ensure timely and accurate graduation clearances. Supports resolution of academic deficiencies with the appropriate college, advisor, school or department, and / or the student. Manages dissemination of graduation and commencement communications, notifies students of their graduation status in a timely manner. Manages diploma orders and diploma reprints. Processes academic petitions related to degree requirements, ensuring compliance with state and University requirements and policies. Supports commencement program production bi-annually in conjunction with University Relations. Serves on the Commencement Committee and assists with various commencement preparations. Leads process improvement and technology projects. Maintains accurate and up-to-date graduation records and data. Generates reports regarding enrollment and graduation. Provides customer service and supports various office functions.

Minimum Qualifications :

  • Experience in a fast-paced, deadline-driven work setting.
  • Demonstrated ability to effectively work and communicate in a team environment serving a diverse population.
  • Experience interpreting, applying, and disseminating policies, procedures, and department information.
  • Strong technology skills, experience with data entry and database systems, and proficiency with Microsoft Office products such as Word and Excel.
  • Demonstrated planning and problem-solving skills.
  • Demonstrated ability to balance multiple competing priorities and cyclical, time-sensitive work.

Additional Considerations :

  • Experience providing administrative support in higher education student services or academic affairs settings.
  • Experience working with computer applications, including software that supports educational institutions and / or relational databases, such as Banner, PeopleSoft, Colleague, etc.
  • Experience with degree audit applications including Degree Works.
  • Working knowledge of academic program requirements and graduation policies and procedures.
  • Working knowledge of FERPA and other federal regulations related to the release of educational records to third parties, general university policies and procedures, and academic program requirements.
  • Demonstrated long term planning and problem-solving skills.
  • Prior experience working with academic records in a higher education environment.
  • Experience directing the work of other employees and work-study students.
  • Salary : $38,000
