What will the Transportation - Freight Coordinator do?

The Transportation - Freight Coordinator will support our brokerage and business development operations by coordinating freight shipments, communicating with clients and carriers, and ensuring the timely delivery of goods while adhering to established policies and procedures. You will facilitate efficient distribution through collaboration, strategic planning, and leadership to increase profit margins, minimize losses, and consistently exceed client expectations for service and quality. Additionally, you will manage and oversee all freight brokering activities, including coordinating with other carriers and Independent Contractors as needed, playing a crucial role in driving operational excellence and maintaining seamless logistics processes.

What is the Transportation - Freight Coordinator responsible for?

  • New Carrier Review / Setup
  • Distribute application links to prospective carriers.
  • Review initial applications to assess compliance with VTC requirements.
  • Send brokerage agreements along with a list of any additional items needed.
  • Create and maintain an active carrier profile in EveryFleet.
  • Operational / Dispatch
  • Collaborate with regional dispatchers to develop the most efficient loads for carrier and VTC needs.
  • Assist in dispatching a group of Independent Contractors to optimize logistics operations.
  • Assigns and dispatches loads to carriers effectively.
  • Monitors loads to ensure the correct dates / times are updated if EveryFleet was not used properly.
  • Facilitate freight as needed for VTC and Brokerage.
  • Build and maintain professional relationships with clients through effective collaboration.
  • Input client data into our system accurately and efficiently.
  • Educating Carriers
  • Distribute information on utilizing EveryFleet for load management for VTC.
  • Educate carriers on procedures by providing step-by-step guidance as needed. Communicate any updates or changes to the product handling procedures, as necessary.
  • Damage related items
  • Reviews for any new damage entered by Carriers in EveryFleet.
  • Creates incident in IMS for Quality.
  • Review and verify new dealer notifications related to carrier damages.
  • Follow up with carriers to gather information on damage causes, request additional photos, and obtain any other necessary items.
  • Office Assistant items
  • Answer and direct phone calls to the appropriate staff members.
  • Perform regular data entry into company systems.
  • Facilitate communication between business development, operations, and other departments to manage daily workflow.
  • Serve as a point of contact for business development staff and external clients / stakeholders.
  • Prepare, organize, and file documents for customers.
  • Draft and send emails to teams and departments on behalf of department staff.
  • Identify opportunities to improve administrative processes.

What knowledge, skills and abilities are required for the Transportation - Freight Coordinator role?

  • Prior dispatch / brokerage experience is required with at least 3-5 years of relevant experience.
  • Must have strong attention to detail, ability to analyze and execute under pressure.
  • Ability to prioritize, balance and organize information while completing multiple tasks.
  • Effective at resolving conflicts that may arise within the shipment process while maintaining a professional demeanor.
  • Must be able to learn, understand and have a strong aptitude for retaining information.
  • Good analytical and decision-making skills. Ability to evaluate alternatives and reach good decisions based on factors such as customer expectation, cost and needs.
  • Must have excellent math and problem-solving skills.
  • Must have persuasive communication and interpersonal skills.
  • Must have good computer skills; proficiency in Microsoft Applications (Word, Excel, Outlook.)
  • Must have a competitive drive and commitment to meet deadlines.
  • Ability to influence positive behaviors with the company drivers, owner operators and brokers to achieve desired results.
  • Must be comfortable in a fast-paced, open office and high call volume environment.
  • Handle emergency calls, even after standard business hours, as needed.
  • Work may require more than 40 hours per week.

    While performing the duties of this job, the employee is required to sit / stand for most of his / her job duties. There is the need to frequently walk. There will be a moderate amount of standing, stooping, kneeling, bending, lifting and reaching for some of his / her job duties.

    Visual requirements include reading off a computer screen as well as printed materials. A high degree of dexterity is required due to frequent use of a telephone console.

    Verbal and auditory requirements include the ability to communicate clearly over the telephone as well as in person.

    There is a moderate level of grasping, lifting, pushing and / or pulling of objects of less than 25 lbs.
