The Administrative Assistant for General Services provides high-level administrative and operational support to the General Services department. This position ensures the smooth execution of daily administrative functions, facilitates effective communication, and supports the department’s operational efficiency. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
Key Responsibilities
- Serve as the primary point of contact for the General Services department, handling inquiries, correspondence, and scheduling.
- Maintain and update records, files, and databases related to general services, including facilities management, procurement, and vendor contracts.
- Assist in budget tracking and expense reporting for department operations.
- Coordinate meetings, prepare agendas, and take minutes as needed.
- Process purchase orders, invoices, and other financial transactions in compliance with university policies.
- Support inventory management and supply ordering to ensure departmental needs are met.
- Prepare reports, presentations, and correspondence as required.
- Liaise with internal departments and external vendors to facilitate department functions.
- Assist in coordinating events, workshops, and training sessions related to general services.
- Perform other administrative duties as assigned to support departmental objectives.
Education
- Associate’s degree in Business Administration, Office Management, or a related field (Bachelor’s degree preferred).
- Minimum of 3 years of administrative support experience, preferably in a higher education or facilities management environment.
- Must be able to lift 10 pounds.
