Summary of Responsibilities:
Responsible for registering patients, monitoring referrals, collecting co-pays, checking patients out at the end of a visit, and scheduling appointments.

List of Responsibilities/Duties

  • Monitor schedule a week in advance for any schedule issues
  • Print routing slips, if needed, for the next day schedule.
  • Checks insurance eligibility and enters copayments and coinsurance responsibility into the billing system prior to check –out.
  • Registers patients by gathering, verifying and entering in demographic and insurance information.
  • Scans appropriate identification cards and insurance cards into the billing system.
  • Obtains signed registration sheets, permissions to file claims, releases, etc.
  • Reviews schedules for referrals needed, obtains those that the office takes responsibility for and works with patients to obtain others.
  • Collects outstanding patient balances during the registration process, prior to patient check-in.
  • Collects co-payments and personal payments.
  • Issues proper receipts and maintains a balanced drawer.
  • Handles inquiries about insurances accepted, office hours, services, locations, exam fees, doctor information, etc.
  • Handles telephone receptionist responsibilities as needed.
  • Maintains personal reference book on insurance companies and coverage.
  • Assists other patient service staff as needed.
  • Faxes medical documentation as requested, assuring that medical releases are in order.
  • Greets patients promptly and professionally.
  • Properly triages patients and visitors.
  • Responds easily to routine requests for information.
  • Handles medical records requests.
  • Maintains patient confidentiality at all times.
  • Receive contact lens order requests from patients, organize and notify patients upon receipt of contact lens orders. (Alabaster)
  • Responsible for scanning various documents into patient charts.
  • Cooperates and communicates with all staff members and physicians about patient matters.
  • Assures that the waiting area is clean and comfortable, with current magazines and minimal clutter
  • Directs patients’ attention to educational materials on LASIK, Latisse, Macular Health Therapy, and other special programs.
  • Travel to other locations as needed.

Duties and responsibilities may be added, deleted or changed at any time at the discretion of the management, formally or informally, either verbally or in writing.

Minimum Education Requirements

  • High school diploma or GED.
  • Alphabetization and spelling skills a must.

Minimum Background Requirements

  • One year of work experience, some of which is preferably in a medical office setting.

Minimum Demonstrated Skills

  • Position requires accuracy, thoroughness, and an understanding of insurance, copy and referral procedures.
  • Work is fast paced and multi-tasked.
  • Requires ability to work as a team member.
  • Skill in operating computer, word processing software, fax machines and copier machines.

Physical Demands

  • Must be able to stand, reach, bend and squat repeatedly during the day.
  • Must be able to communicate via the telephone.
  • Must be able to view and type computer data.
  • Must have manual dexterity to file
