As a Front Desk Associate at Vision Now, you will be the first point of contact for our patients, setting the tone for their experience. Your primary responsibilities will include managing the front desk operations, scheduling appointments, and ensuring that patients feel valued and supported throughout their visit.
JOB RESPONSIBILITIES
Patient Care:
· Welcome patients warmly as they arrive, ensuring a positive first impression.
· Ensures patients schedule their exams for next year prior to leaving.
Appointment Management:
· Schedule, confirm, and manage patient appointments efficiently, coordinating with the clinical team as needed.
· Contact patients daily to reschedule any missed or cancelled appointments.
· Recall patients who are at the one-year mark for exams.
· Ensure daily schedules are full.
Patient Check-In/Check-Out:
· Handle patient intake forms, verify insurance information, and ensure a smooth check-in/check-out process.
Communication:
· Answer phone calls and emails promptly, addressing inquiries about services, appointments, and insurance policies.
Billing and Payments:
· Process payments, provide receipts, and assist with billing questions or concerns.
Insurance Verification:
· Verify insurance eligibility and benefits, ensuring accurate patient records and billing.
Administrative Support:
· Maintain organized patient records, manage office supplies, and assist with general administrative duties.
Patient Support:
· Provide helpful information about Vision Now’s services and products, creating a friendly and knowledgeable experience.
Team Collaboration:
· Work closely with opticians, optometrists, and other team members to ensure a seamless patient experience.
· Will be cross trained in optician and technician duties.
PHYSICAL REQUIREMENTS
- Requires standing, sitting, driving, and walking for prolonged periods of time.
- Occasionally lift and carry items up to twenty-five pounds.
- Able to remain calm and professional regardless of workload or time constraints.
- Proficient in use of English language both in written and verbal communication.
- Must be able to keep electronic information organized and utilize effective time management skills.
- Requires frequent use of hands and fingers to operate a computer keyboard and mouse.

QUALIFICATIONS
- High School Diploma required.
- Proficient in Microsoft Office Suite.
- Colorado driver’s license and access to reliable transportation during work hours.
- Current automobile insurance.
- Spanish language skills preferred.
- Previous experience in a front desk, customer service, or administrative role (experience in a healthcare setting is a plus).
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Professional and friendly demeanor with a commitment to providing excellent customer service.

SALARY RANGE
- $17.00-$22.00 Hourly
