What are the responsibilities and job description for the Surgical Scheduler position at Vision Quest Medical Center?
Essential Job Functions:
The surgical administrative coordinator conducts a private interview either in person or via the telephone with the patient and family to schedule surgery and any necessary pre-operative testing and post-operative visits. Provide preoperative and postoperative instructions. Answer all telephone inquiries from patients with questions regarding upcoming surgical appointments.
This person also provides the insurance billing department with the information necessary to properly bill the patient’s surgery
Coordinate all pre-operative testing with other physicians and surgical centers.
Schedule all patient surgeries with the outpatient surgery center. Document the date and time of the surgery in the surgery scheduling book and the Practice management computer system. Also, notify the other office of the upcoming surgery schedule.
Prepare any surgical consent forms, medical clearance forms, and dates and times of surgery prior to surgery date. Verifying all paperwork is returned from the patient and the primary physician prior to surgery date.
Obtain all billing information, including benefits, deductibles, co-pays, and prior authorization or referrals needed for surgery. Collect co-pays and out-of-pocket expenses when applicable.
Call the patient to confirm the date, time, and place of the procedure/surgery.
Monitor patients’ flow by directing physicians to the next patient, overseeing physicians’ schedules, checking waiting room to ensure that all patient have checked in and are not kept waiting an unreasonable length of time.
Assist with building surgical charts prior to surgery day.
Maintain surgical scheduling template.
Notifying patients of surgery time and expected arrival time.
Return and answer patient phone calls. Make appointments when needed. Answer patient questions in examinations rooms.
Monitor and restock inventory of medical supplies, medication and samples, replace any expired medications. Set up examination rooms (cleaned, organized, stocked properly).
Monitor inventory of office supplies, education materials, consent forms. Pass on needs to Nurse Manager responsible for ordering supplies.
As appropriate, assist in screening patient phone calls or walk-ins and answering patient questions.
Fill out encounter forms with diagnostic tests performed by technician when applicable.
Maintain proper chart documentation following all office protocol and policies.
Able to communicate effectively.
Valid driver’s license.
Other duties as assigned by Administrator, Nurse Manager or physician.
Job Qualifications:
High School graduate or equivalent. Minimum of three years experience as a certified ophthalmic technician preferred or comparable experience in an ophthalmology Practice. One year previous surgery scheduling experience required. Working knowledge of medical management software and windows based operating systems.

Pay: $18.90 - $22.00 per hour
