As our Sales Coordinator, you’ll be a member of an energetic team selling Wichita to meeting planners around the country. You love providing support and are detail oriented; leaving no stone unturned in offering Visit Wichita’s services to future groups who are hosting in Wichita. You thrive working in the office on the computer assisting a team of sales professionals helping to coordinator their activities and also enjoy collaborating with others to figure out the best way to communicate the great experience our city has to offer. You are a self-starter who is just as comfortable reaching out to clients to uncover their needs as you are building spreadsheets to ensure all bases are covered. The Role
The Sales Coordinator provides administrative support and project coordination to the Convention Sales and Service staff. This position is also responsible for the retainment of recurring meetings and conventions taking place in our vibrant city by offering meeting planner services and identifying planner needs. Strong written and oral communication skills. Must be well organized and detail oriented. Role reports directly to Director of Sales.
KEY RESPONSIBILITIES:
· Sales Prospecting: Identify and engage recurring clients, including meeting planners and convention organizers, to promote Wichita as an ideal location for their events, offer Visit Wichita services and identify planner needs.
- Client Services: Coordinate the delivery and execution of all Visit Wichita services requested by meeting planner, including but not limited to welcome/information tables, welcome and promotional materials, printing name badges, airport welcome signage, mobile charging station (45 lbs.), etc.
- Administrative Duties: Maintain weekly services calendar to keep staff informed as to the status of various events. Support the Group Sales team with administrative tasks such as schedule meetings, maintain databases, prepare reports, handle check requests, manage calendars, prepare meeting agendas and minutes, coordinate letters of support, and other organizational activities as well as maintain files and records with efficiency and accuracy.
- Sales Support: Assist sales managers in the preparation and distribution of bid packages, attendance-building, marketing and promotional materials. Help organize sales presentations and information sessions for potential clients.
· Performance Goals: Meet or exceed assigned sales targets, contributing to the team's overall success. Provide regular updates to the Director of Sales on progress and market trends.
- Department Inventory: Maintain inventory of the department’s promotional products and marketing collateral.
- Hospitality Team: In coordination with the Director of Sales, provides oversight to the Hospitality Team (city ambassadors); including but not limited to preparing work assignments, greeting upon shift arrival, turning in timesheets, etc.
- Client Feedback: Distributes post-convention surveys for groups recently in Wichita and compiles feedback for reports
· Data Management: Utilize CRM systems to track sales progress and client engagement.
· Event Coordination: Assist sales managers in the planning and execution of sales missions, site visits and familiarization tours for potential clients, and other department events in Wichita, Topeka, and other locations. Work collaboratively with other departments to ensure events run smoothly and visitors' expectations are exceeded.
· Collaboration: Work closely with other departments, including marketing, partnership and sports to ensure alignment of goals and strategies.
- Market Research: Develops a working knowledge of all hotels/meeting facilities, attractions and services, both private and public, available in the area to customers and ensures all collateral is kept current
- Other: At the discretion of the Director of Sales, provides research, general support, sales support, and/or performs other administrative duties as needed
QUALIFICATIONS:
· Bachelor’s degree in business, marketing, hospitality, or related field
· Proven sales experience as a sales coordinator or in a similar role
· Strong interpersonal and communication skills, capable of effectively networking and building relationships with a diverse range of clients
· Excellent organizational and multitasking skills
· Excellent communication and interpersonal abilities
· Proficiency in MS Office and CRM software
· Ability to work collaboratively in a fast-paced environment
· Knowledge of the meetings, conventions, and sports tourism industry preferred
EDUCATION AND EXPERIENCE:
· A four-year degree from an accredited college or university preferred
· Proven sales experience as a sales coordinator or in a similar role
· Success being a team player in a work environment
